Reports to: Center Director

Offering New Employee Bonus of $300 to New Hires that can successfully complete onboarding and start before 09/01/2024. The bonus is paid after successful completion of 60 days of employment.

SELF Mission:

Support for Early Learning and Families (SELF) convenes and mobilizes partners and stakeholders throughout Southwest Washington to promote community awareness and advocacy for early learning, kindergarten readiness and school success for all children.

How do we do this? We work in partnership with the Educational Service District (ESD) 112 to staff and facilitate numerous childcare centers in the southwest Washington area. Our programs are designed to support children at ages ranging from birth, to preschool, to school age. We have program types to support children of all backgrounds and needs.

General Description of Position:

Working as the Administrative Assistant for one of our preschool centers, you'll be the first face kids, parents, and families see when arriving at the center. That means that you'll get to create a positive experience for all visitors and make meaningful connections with them. In doing this it's important that you're able to maintain a high level of professionalism, confidentiality, and have empathy for all people regardless of background. Additionally, you'll work with computers to generate reports, answer phones, and assist the Center Director as needed. In short, you'll get to be the cog that helps keep the center running as intended, thus serving the children and their families.

Essential Functions
  • Serve as the face of the Center for families, children, and staff; provide a welcoming, professional experience to every individual.
  • Answer phones and front door promptly and courteously.
  • Greets visitors and ensures their questions and requests are met and proper sign in procedures are being followed; provide Center tours to potential families.
  • Set up, maintain, and audit child files; ensure procedures are followed when children leave the program.
  • Maintain all records for funding including CACFP, Procare verification daily and tracking, and entering trainings into ChildPlus.
  • Responsible for placing orders for supplies for the Center and teaching staff.
  • Provide oversight to attendance monitoring and share patterns with Center Director as needed.
  • Create, maintain, and follow up on health and safety checklists.
  • Schedule dental, vision, and hearing screenings for children and their families.
  • Provide classroom coverage for staff when back up is needed due to attendance and/or behavior concerns.
  • Submit and track all maintenance and IT requests for Center staff and FSSs.
  • Oversee immunization tracking for enrolled children and follow up with families as needed.
  • Run monthly reports from ELMS and ChildPlus and distribute data to specified parties.
  • Collect and track annual forms from families.
  • Serve as lead trainer for bus aides if present at your Center; ensure trainings are thorough and up-to-date.
  • Remain aware and up to date on changes in the Washington Administration Code.
  • Supports other centers with administrative duties as needed; may include training other administrative assistants or bus aides.
  • Maintains a clean and orderly office environment.
  • Performs other duties as requested.
Qualifications and Skills
  • 18 years of age or older.
  • High school diploma or GED.
Employment Requirements
  • Successful completion of a portable background check (PBC) and clearance through the Department of Children Youth and Families prior to working in program.
  • Participation in Washington's State Training and Registry System (STARS) program required.
  • Valid CPR/First Aid certification including child/infant prior to working in program.
  • Valid Food Handler's Card required prior to working in program.
  • Negative TB test completed within the previous twelve months prior to working in program.
  • Initial health exam completed by medical provider showing you are free from communicable diseases.
  • Documentation showing immunity to Measles, Mumps, & Rubella (MMR), either vaccination records or results of a Titer test prior to working in program.
  • Completion of HIV/Blood Borne Pathogens training prior to working in program.
Physical and Strength Demands
  • Requires the ability to move or traverse about inside the office to access file cabinets, office machinery, center activities, etc.
  • Moderate or frequent exposure to loud noises, outside weather elements, and temperature changes.
  • Lifting requirements include the ability to exert up to 50 pounds of force occasionally, 20 pounds of force frequently, and up to 10 pounds constantly to move objects including, the human body.
  • Job involves sitting, standing, walking, lifting, carrying, reaching, grasping, bending, stooping, crouching, pushing, and/or pulling. Position involves physical mobility with or without reasonable accommodation to perform essential functions of the job.
