Position Description

Inversiones JAM 320 seeks a meticulous and proactive HR Administrative Assistant to bolster our operations/administrative team. The perfect candidate will oversee work hours/timesheets, handle invoicing, coordinate with contractors, aid in training, support employee relations concerning benefits/policies, and collaborate closely with Management. This HR Administrative Assistant is instrumental in ensuring seamless operations across the company. In addition, he or she will participate in or lead key HR initiatives in the following areas: recruitment and retention, employee relations, workforce planning, and policies/legal requirements.

He or she assists in developing and implementing the processes required to attract and place employees; works with other employees to develop an understanding of staffing needs; assists in the recruiting process; coordinates job posting; and provides advice to supervisors and employees regarding work issues, operational strategies, and human resource procedures and suggests corrective action to resolve problem areas. Lastly, he or she will function as a proficient user of HR Payroll forms and taxes and perform miscellaneous duties as assigned by the supervisor.

Essential Functions & Responsibilities

  • Provide Administrative support for overall office operations and staff.
  • Work closely across all departments, gather information, and provide progress updates to Management.
  • Greet and attend to all visitors or scheduled appointments.
  • Handle all calls and email communications for staff and clients with urgency.
  • Manage timesheet app/system spreadsheets weekly.
  • Liaison between ADP for payroll purposes and send reports for them to generate payroll weekly.
  • Performance Management for employee engagement and training development.
  • Maintain compliance with federal, state, and local employment laws and regulations.

Additional Responsibilities:

  • Obtain, review, and update all insurance from employees and subcontractors.
  • Manage all permit requirements for new permits if required by a project.
  • Be the point of contact between the office, suppliers, and vendors.
  • Responsible for recording with Management all documents needed.
  • Monitor Progress of permit applications, payments, and comments.
  • Keep all stakeholders informed about administrative projects and tasks.
  • Work closely with sales reps to assist them with any administrative tasks.

Background & Experience: 

  • The individual should have 3+ years post-qualification experience working in an HR or related function (e.g., administrative, payroll).
  • Proven ability to identify and prioritize relevant tasks.

Education/Training Requirements:

Bachelor's degree in Human Resources, Business Administration, Management, or related field.

Other Requirements:

  • Advanced level skills in Excel - highly proficient with manipulating and reporting on data.
  • Able to work independently and use own initiative.
  • Able to organize efficiently and establish priorities.
  • Strong detail orientation and focus on the accuracy of work.
  • Able to interact proactively with Management and staff across all levels of the organization.
  • Interpersonal solid awareness and ability to influence.
