About the Position:

The College of Communication is committed to advancing a democratic society by preparing students to perform in a variety of communication professions. We seek an exceptional individual to join our team as the Administrative Support Assistant (Administrative Support Assistant II). The ideal candidate in this role should have a positive attitude and an active, energetic mind that is characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness.

Under the general supervision and direction of the Department Chair, the Administrative Support Assistant provides support for communications, events, programs, faculty and students in the Department of Communications at Cal State Fullerton. The Administrative Support Assistant provides hands-on administrative and clerical support for the Department of Communications. Troubleshoots questions and problems for students, faculty, and staff. Develops and assists with internal and external communication efforts, including email, newsletters, website content, and social media. Coordinates in planning events such as the Awards and Scholarships Ceremony, Communications Week, and Kappa Tau Alpha (KTA) awards event. Serves as backup for office processes and covers other roles when other staff are out. Other duties as assigned.

Essential Qualifications

High School diploma or the equivalent and three years of experience in general office, clerical or secretarial work or the equivalent. General working knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of office methods, procedures, practices, and equipment. Thorough knowledge of English grammar, punctuation, and spelling with demonstrated competence in effectively presenting standard information in writing. Ability to learn, interpret independently, apply, and identify deviations from a variety of complex policies and procedures. Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions. Ability to perform arithmetic functions of a transactional nature, including tracking and comparing data. Ability to work on the front line, with a variety of campus and community individuals requiring active problem solving and effective interpersonal skills. Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions. Basic typing and keyboarding skills.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.

Preferred Qualifications

Bachelor's degree from an accredited four-year college or university, especially in communications or marketing. Experience in creating content for internal and external communications and promotional materials. Expertise in using office software packages and technologies. Demonstrated ability to understand problems from a broad perspective and anticipate the impact of office administration problems and solutions on other areas.

Demonstrated ability to analyze operational and procedural problems and develop, recommend, implement and evaluate proposed solutions. Demonstrated ability to use negotiation and persuasion skills to achieve results and expedite processes. Excellent written and oral communication. Experience in basic web design software and using social media. Detail oriented with the ability to independently handle multiple work unit priorities and projects. Excellent interpersonal skills with the ability to effectively handle interpersonal interactions at all levels including diverse and highly sensitive situations.

License/Certifications

A Valid California Driver's License.
