Job PurposeThe Service Coordinator, in partnership with the Operations Manager plays a vital role in ensuring seamless communication and coordination between clients and installation crews in our sign department. This position is essential for enhancing customer satisfaction, managing service schedules, and facilitating the timely completion of projects and time and material service calls. This includes time and materials service calls as wellCoordinate and schedule installation appointments, ensuring that all necessary materials and personnel are availableDetermine permit needs and secure any necessary permitsTrack the progress of orders and ensure timely completion of projectsMonitor inventory levels of sign materials and supplies, placing orders as needed to ensure uninterrupted serviceMaintain accurate records of service requests, installation schedules, and client communications in the company databaseAssist in preparing quotes and proposals for service requestsSeeks bids from sub-contractors to fit gross margin, budget requirements and customer specificationsProviding clients with clear and detailed information. This will include job site visits to conduct technical surveys for scope definitionConduct follow-ups with clients post-installation to gather feedback and address any concernsParticipate in team meetings to discuss project statuses, service challenges, and process improvementsWork with National Sign Companies to gain their business by contacting, quoting and managing the work that they offer in regard to service needsCoordinates the return goods back to vendorsWorks with accounting to set billing procedures and practicesOther duties assigned by managementRequired QualificationsHigh School diploma or equivalentProven experience in a customer service or coordination role, preferably in the signage or service industryStrong organizational skills and attention to detail, with the ability to manage multiple projects simultaneouslyProficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with CRM softwareGood verbal, written, and interpersonal communication skillsAbility to work effectively in a fast-paced environment and adapt to changing prioritiesMaintain an active driver's license in good standingPreferred QualificationsBachelor's degree in project, construction or business managementKnowledge of project management principles and toolsAbility to read and interpret technical drawings or schematicsExperience with inventory management systems2+ years experience in the signage industry or familiarity with sign production processesExperience working with a project scheduling/reporting tool, preferably BuildOpsPhysical Requirements and Work ConditionsPhysical demands within this position include but are not limited to frequent standing, sitting, walking, listening, talking, using the telephone, focusing, and climbing different types of ladders and stairs, using depth perception, working in different weather conditions and the use of hands to handle or touch objects or controls. Local travel to various worksites is required at least 30%. Long periods of time spent on the computer, using the telephone, stooping, bending, reaching above shoulders, and walking on uneven surfaces at job sites may be required.
