The Institutional Giving Officer is responsible for building and maintaining a portfolio of foundation donors to help OMSI achieve its strategic and operational goals. This position will actively incorporate diversity, equity, access, and inclusion initiatives throughout portfolio stewardship and activities that support organizational values and strategic priorities.

This position will work closely with members of the Development team on the identification, solicitation, cultivation, and stewardship of donors and prospects. This position serves as the key writer for the department, and they are responsible for writing over 50 proposals and 20 reports annually to local and regional funders.

Essential Duties and Responsibilities:
  • Manages Portfolio of Small-Mid-Level Giving Foundations and Corporations:
    • Writes and submits four to eight proposals and reports per month, which includes creating case statements and communications for department-wide use;
    • Prepares solicitation strategies and plans for meetings with donors and prospects (~70 donors, ranging from $3k - $200k);
    • Tracks donor pipeline management, hits revenue goals, and reports out to funders and cross-departmental teams
    • Conducts one-to-one cultivation, solicitation and stewardship meetings with donors and prospects;
    • Uses a "moves management" approach to motivate donors and prospects to make annual and special project gifts to OMSI;
    • Works collaboratively across the museum to identify funding opportunities and coordinate mutually beneficial partnerships for events, exhibits, and programs.
  • Institutional Giving Calendar Management:
    • Works with donors on reporting and proposal deadlines;
    • Coordinates, communicates, and identifies donor and proposal strategic/departmental priorities and goals, under the guidance of the Senior Director of Institutional Giving;
    • Maintains donor data integrity by identifying inconsistencies and gaps in Salesforce database.
  • Institutional Giving Prospect Research:
    • Conducts regular prospect research, such as reviewing annual reports, utilizing the Foundational Directory, and stays up to date on philanthropic landscape;
    • Participates in networking events to identify and steward potential donor opportunities;
    • Supports prospect research by working with the OMSI leadership team, development committee, and board.
  • Donor Communications:
    • Leads the creation of donor messaging that is consistent across all OMSI communication channels, and participates in creating an array of written and in-person communication for donors - Gala, Annual Appeal, Annual Report, case statements, collateral, and one-sheets;
    • Gathers and updates proposal attachments and OMSI impact information via OMSI Fast Facts;
    • Proofreads and edits documents and materials prior to publication or submission.
  • Financial Aid Program Management:
    • Tracks and writes federal, private, corporate, and family foundation grant proposals annually (~$225k);
    • Participates in cross-departmental meetings regarding Financial Aid budget, distribution, earns tracking, fundraising, and other administrative work.
  • Internal Stakeholder Collaboration:
    • Thoughtfully and efficiently gathers internal buy-in on narratives, budgets, and attachments, before proposal submissions;
    • Presents funding trends/motivation in conversations with program staff to help guide resource development;
    • Monitors and coordinates the administration of post-award grants to ensure budgeting and administrative policies, procedures, and awarding organization requirements are followed.
Working Conditions:
  • This position is exempt, paid salaried;
  • This position is regular full-time scheduled for 40 hours/week;
    • Requires working onsite at the museum location;
    • Requires occasional travel around and outside of the Portland Metro area;
    • Requires working on some weekends, holidays, and/or evenings.
  • Physical Demands: 85% sitting, 10% standing, 5% lifting/carrying 50 lbs;
    • Ability to push or pull carts and other equipment for food/drink deliveries up to 250

    • Experience working with a CRM (Customer Relationship Management) system;
    • Proficient with Google Suite and Microsoft Office, and the ability to effectively utilize spreadsheets and databases;
    • Knowledge of the principles, practices, and techniques surrounding a prospect management/moves management program in a complex development operation;
    • Effective at building and maintaining strong relationships with people of diverse talents and backgrounds, with an emphasis on relationship stewardship and advancing diversity, equity, and inclusion through a racial equity lens.
PREFERENCES:
  • Knowledge and experience with Salesforce or other database programs;
  • Excellent oral and written communication skills in a non-English priority language in Oregon.
Education & Work Experiences:

REQUIREMENTS:
  • Minimum of 3 years experience writing, budgeting, and securing grant funding with varying degrees of complexity;
  • Experience working in prospect research;
  • Demonstrated donor relations and stewardship experience;
  • Experience managing grant budgets and utilizing appropriate accounting or tracking systems;
  • Examples of successful project coordination/project management;
  • Demonstrated experience working effectively with people of diverse backgrounds and talents in professional work environments.

  • Academic degree that demonstrates strong writing and research skills;
  • Prior grant experience.
