Department Summary

The Events Team manages, produces, and oversees the events, programs, and experiences for all departments at Destination DC. The Events Team works cross-functionally to plan, research, ideate, and execute the pillars of engagement for DDC members, customers, and prospective visitors. Events Team members lead meetings, site visits, budget management, procurement of promotional items and gifts, as well as provide full-service logistics for the variety of meetings, receptions, events, educational programs, experiential marketing, familiarization tours, and site inspections for the organization.

Position Summary

Reports to: Senior Events Manager

As the Events Coordinator, you will be responsible for managing all administrative needs for the Events Team and supporting development and on-site logistics for events, tradeshows, meetings, site inspections, familiarization tours, and member/customer experiences.

Your day in the life as the Events Coordinator may include:
  • Managing Workfront requests from various departments and distributing assignments to Events Managers
  • Working closely with Events Team members on developing event content, managing timelines, and deliverables
  • Taking meeting notes when appropriate for upcoming events and engagements
  • Traversing the city on site visits of potential host venues and partner spaces
  • Providing partnership support for American Experience Foundation events and programs, DDC's affiliated 501c3 charity.
  • Providing excellent customer service for all internal colleagues and external members.
  • Being a liaison to other teams across the organization.
This position requires four days in-office during the introductory period.

Your Essential Duties and Responsibilities (include the following, but are not limited to)
  1. Manage and assign all event requests through Workfront. This includes following up to the requestor for more details and working with assigned event lead to schedule kickoff meetings
  2. Schedule and oversee the DDC Events Calendar to ensure all events are documented and do not conflict with any internal or external commitments.
  3. Helps to manage and track promotional items and VIP gifts for the organization, in partnership with the Senior Events Manager.
  4. Supports on-site execution of events including registration, volunteer management and other logistics as assigned
  5. Brainstorms and researches unique event and consumer engagement ideas, in partnership with the Senior Events Manager and Events Team
  6. Collaborates with the Creative Team on development of event collateral, submitting and managing creative requests using DDC's project management software, Workfront and internal creative software, Canva; materials include but are not limited to invitations and signage.
  7. Supports the (Senior) Event Managers event invitations and registration through Cvent as needed
  8. Keep all external event communications up to date including Washington.org and the Extranet.
  9. Attend monthly administrative assistant/coordinators meeting
  10. Report monthly Cvent transactions to the Accounting department.
What You Bring: Knowledge, Competencies & Skills
  • Minimum two (2) years progressive event planning or project management experience preferably in the non-profit environment.
  • High level of technical proficiency with Microsoft Office, CRM, and project management systems required.
  • Bachelor's Degree (B.S./B.A.) from four-year college or university in management, sales, marketing or related field preferred.
  • Ability to schedule kickoff meetings, coordinate logistics, and manage resources for successful event execution.
  • Meticulous attention to detail with strong organizational skills to maintain a well-organized and conflict-free event calendar.
  • Ability to manage multiple projects simultaneously and prioritize tasks effectively.
  • Excellent verbal and written communication skills; strong interpersonal skills to collaborate effectively with various stakeholders like event leads, creative teams, and senior management.
  • Willingness to work evenings and weekends; willingness to travel.
  • Ability to read, analyze, articulate and interpret general business periodicals, professional journals and technical procedures.
