The Role:

This position is for a mid to upper-level event professional who possesses strong project management capabilities and can effectively lead teams comprising executive clients, internal staff, and external partners. Flexibility, creative problem-solving, and the ability to independently manage multiple high-priority projects are essential.

An Event Manager will oversee the complete project management and leadership of various event executions. This role serves as the primary liaison among contractors, organizers, business owners, and management regarding all aspects of the programs and events, ensuring successful and impactful project delivery.

Key Responsibilities:

  • Manage a diverse range of event experiences, including client team coordination, event oversight, technical digital event setups, and overall deliverables management to meet execution goals.
  • Collaborate with key stakeholders at the onset of the planning phase to define event strategies, target audiences, and align organizational objectives with broader business goals.
  • Proactively oversee the end-to-end development process for all events, including project management, production timelines, event agendas, digital content, venue logistics, and stakeholder coordination across various time zones.
  • Design and facilitate event agendas with key stakeholders to enhance attendee engagement, accommodate different learning styles, optimize venue capacities, ensure speaker readiness, and achieve event objectives.
  • Identify and address risks and challenges, providing innovative solutions to mitigate issues.

· Stay informed about emerging trends in exhibit design and industry developments, particularly in digital and hybrid events.

  • Establish and manage budgets, purchase orders, third-party payments, internal invoicing for services rendered, statement of work (SOW) creation, forecasting, and monthly approvals.
  • Effectively collaborate with third-party vendors to ensure timely and accurate delivery of all event components.
  • Utilize specified software management tools and processes to efficiently manage event details.
  • Organize and conduct conference calls and meetings with key participants, including preparing meeting agendas, resources, and notes.

· Provide guidance to clients on venue selection, contract negotiations, vendor requests for proposals (RFPs), and SOWs.

  • Evaluate key performance indicators (KPIs) such as attendance and feedback for all content, communicating findings to stakeholders and adapting processes to incorporate best practices.
  • Build and maintain strong relationships with senior-level clients, addressing issues related to client satisfaction and overall success while identifying opportunities for account growth.
  • Oversee all post-event reporting, including attendee evaluations, stakeholder reviews, final event reports, and communications.
  • Train and mentor new hires and support team members at all levels, developing process documentation for events, clients, and the organization.
  • Represent Dynamic Events with professionalism, delivering exceptional customer service while adhering to ethical business practices.
  • Willingness to travel for onsite event management and support, in compliance with government guidelines.
  • Other responsibilities as assigned.

Key Qualifications and Competencies:

  • Proficient in MS Office Suite and web-based collaboration tools, as well as content management systems.
  • Strong communication and interpersonal skills, capable of engaging respectfully and discreetly with clients, speakers, staff, and vendors, and adapting communication styles to diverse audiences, including executives.
  • Ability to manage competing workloads and prioritize tasks to meet deadlines.
  • Skilled in producing and presenting high-level documentation for both internal and external stakeholders.

Education & Experience:

  • Minimum of 3-5 years of experience in corporate event management (including tradeshows, seminars, and conferences), preferably in the technology sector.
  • Bachelor's degree or equivalent professional experience.
