Position Objective and Summary:
Under the supervision of the Director of Facilities the Administrative Assistant provides administrative support to the Facilities department and the Executive Team located at the Nichols Center.
Requirements
Essential Functions and Responsibilities:
Fleet Administrator Assistance
- Administrating and coordinating motor vehicle fleet operations.
- Maintains accurate records of all the vehicles, insurance, and required regulatory filings and reposting.
- Ensuring that employees understand their duties or delegated tasks.
- Coordinates repairs and preventative maintenance scheduling vehicle availability requirements.
- Must have strong managerial skillset and tech savvy to manage our facilities data.
- Maintain daily front desk operations, ensure everyone is greeted when they enter the building.
- Ensure a consistently high standard of customer service is delivered by Front Desk team members.
- Work closely with others in the department to identify and correct problems and make recommendations to remedy problems.
- Provide training and support to front desk staff.
- Oversees and schedules for all Front Desk Staff.
- Receives packages and deliveries, supervises, trains, and directs Front Desk Staff.
- Provide coverage with Front Desk when needed.
- Ability to organize, delegate & work under pressure.
- Provide coverage and relief to any area in need.
- Ensure work orders are assigned to our maintenance and housekeeper staff daily.
- Input work order as needed and assign to staff.
- Follow up on work order that is not closed.
- Monitoring employee productivity and providing constructive feedback and coaching.
- Ensuring that the team's goals are met.
- Provides support to the Director of Facilities with a variety of routine and standardized tasks for Facilities.
- Oversees the management of data housed in a data base that is designed to track and monitor work orders.
- Develops and provides all required reporting from the facility data base for agency risk management purposes.
- Provide administrative and clerical support to Executive Team members who are located at the Nichols Center.
- Provide back-up assistance in the Nichols Reception office as needed.
- Applies a customer service lens to the support they provide.

- Maintains appropriate boundaries with clients.

- Reports to work, meetings, training, and job-related activities prepared and as scheduled

- Performs other related tasks as assigned or required
- High School Diploma or GED
- At least 3 years' experience in office/clerical support
- Experience working in facilities management preferred
- Strong initiative and organizational abilities
- Must possess excellent writing, communication and presentation skills.
- Skilled with all Microsoft Suite products including Word, Outlook, Excel and PowerPoint.
- Excellent interpersonal and problem-solving skills.
- Is open and respectful of cultural and socioeconomic characteristics of clients and is willing and competent to work with a diverse client population.
