Executive Assistant I Job Description
Zurich Insurance Company Ltd is seeking an experienced Executive Assistant I to provide high-level administrative support to senior management. This role requires excellent organizational and communication skills, as well as the ability to work in a fast-paced environment.
Key Responsibilities:
- Provide administrative support to senior management, including calendar management, travel coordination, and expense reporting.
- Organize and prioritize tasks to ensure timely and accurate completion of work.
- Collaborate with teammates to ensure accurate and proactive approach to senior management needs.
- Handle and coordinate calendar management, domestic travel, and expense reporting.
- Run multiple month-end reports and distribute to appropriate team levels.
- Greets and directs internal and external customers to the appropriate person(s). Handles internal customer and employee inquiries. May refer more complex inquiries and/or complaints to appropriate personnel.
- Answers and screens phone calls and responds to simple e-mails for senior management.
- Composes routine and non-routine correspondences from brief notes, oral or written instructions. Receives incoming mail and forwards to appropriate personnel to handle.
- Controls, coordinates, and maintains senior management schedules and coordinates meetings, appointments, and other activities. Does follow-up work as needed.
- Supports special event facilitation where appropriate.
- Coordinates large group meetings with conference room functionality where appropriate.
- Maintains supplies, coordinates travel logistics using the corporate travel procurement tool.
- Prepares expense reports and handles payments for expense items.
Requirements:
- Bachelor's degree and no prior experience required in the administrative area OR Associate degree and no prior experience required in the administrative area OR High school diploma or equivalent and 3 or more years of experience in the administrative area AND Microsoft Office 365 experience.
- Experience planning, organizing, and scheduling work.
Preferred Qualifications:
- Knowledge of company operations and organizational procedures.
- Administrative experience in a multi-tasked, high-paced, confidential environment.
- Ability to prioritize.
- Ability to multi-task.
- Strong verbal and written communication skills.
- Experience with tools/systems such as Salesforce, Microsoft Excel & PowerPoint.
