At Fluid Management, Inc., a unit of IDEX Corporation, is the leading global manufacturer of precision dispensing equipment for the architectural paint and coatings industry. We have a manufacturing facility in the northern suburbs of Chicago. Our team has a history of success and long tenure. We have approximately 90 employees based in North America, Central America and Canada.

Role:

The role of HR Operations Specialist/Office Coordinator is a newly created role. Reporting into the HR Manager and part of a global HR team, this role is responsible for all HRIS maintenance, Payroll, timekeeping, leave administration, benefits, recruitment job postings, interview scheduling, and new hire onboarding. In the Office side of the role, you will make sure the facility is prepared for our employee needs, hosting visitors, managing vendor relations as well as providing executive administrative support to our global executives. You will also participate as a team member of our Global Dispensing HR team on key projects.

Job Duties:

HR Operations

  • Manage the HRIS, payroll and timekeeping systems and ensures data integrity.
  • Lead annual benefits open enrollment process including all communications and employee benefit questions.
  • Payroll activities for approximately 90 hourly and salaried employees on a bi-weekly basis including payroll data entry, source document tracking, verification of all payroll activities, back up memo creation and training of leaders as needed for the time keeping system.
  • Employee personnel file management: hardcopy and electronic.
  • Recruitment: job postings, interview scheduling, candidate hosting while on-site and coordination of prescreening testing/background checks and drug screens.
  • Conduct new employee orientation.
  • Coordinate HR communications and employee activities.
  • Leave management administration.
  • HR metrics, reports, surveys, requested by the business.
  • Manage all workers compensation claims.
  • Serves as the lead of the Funovation and FM community impact committees.
  • Implements process improvements as necessary.
Office Management
  • Responsible for supporting our Global President and administrative tasks required may include calendar maintenance, schedule meetings and travel arrangements. Support other global leaders based in Wheeling as requested.
  • Owner for onsite meetings/visitors; agenda coordination, meals, room preparation, etc.
  • Vendor Management such as coffee, furniture, etc.
  • Develops and prepare reports, presentations, spreadsheets and other complex documents as needed. Coordination of virtual meetings as needed (e.g., MS Teams, Zoom, etc).
  • Prepares and reconciles expense reports for global leaders as requested.
  • Responds quickly and enthusiastically to rapidly changing demands. Anticipates deviations from schedules and proactively and independently works to develop adjusted plans to address such changes.
Qualifications:
  • Bachelor's degree in business, human resources, or related field is required.
  • A minimum of 3 years of human resource experience in a comparable role, preferably with experience in a manufacturing environment.
  • Experience with HRIS, timekeeping and payroll systems (Workday and Dimensions preferred).
  • Attention to detail. Does not let important details slip through the cracks or derail a task. Excellent organizational skills.
  • Ability and experience working in a fast-paced, deadline-oriented environment.
  • Strong team player with excellent interpersonal skills.
  • Excellent oral and written communication skills.
  • Demonstrated proficiency using Microsoft Office applications, strong use of Excel, Word and Outlook is essential.
  • Experience maintaining the highest level of confidentiality.
  • Prior experience with Leave management and Workers Compensation required.
  • Bi-lingual English/Spanish preferred.
  • Knowledge of core Federal and State laws pertaining to employee relations.
