Job Overview

Salary: $13 to $14 per hour

Crittenton Services is looking for an Administrative Support Specialist who will play a crucial role in our administrative and marketing teams. The ideal candidate should exhibit a friendly demeanor, possess excellent communication abilities, and demonstrate a proactive approach to various tasks.

Key Qualifications:

  • Minimum of 2 years of experience in an office setting, preferably within a behavioral health organization.
  • High School diploma or GED required; an Associate's degree in Secretarial Studies is preferred.
  • Ability to handle sensitive and confidential information with discretion.
  • Strong skills in office management, data entry, and proficiency in computer software.
  • Experience with Microsoft Office is essential.
  • Familiarity with human resource functions, risk management, and basic accounting is advantageous.
  • Must be capable of working independently and possess exceptional organizational, telephone, public relations, and prioritization skills.

Primary Responsibilities:

  • Provide comprehensive support to the administrative team as needed.
  • Welcome clients, staff, and visitors in a courteous manner and direct them appropriately.
  • Ensure visitor sign-in procedures are followed to maintain security and confidentiality.
  • Manage incoming calls, transferring them as necessary and providing assistance.
  • Collaborate with the office manager on various projects that benefit the organization.
  • Assist in monitoring building security during morning and evening hours.
  • Handle mail distribution as directed by the Executive Office Manager, including preparing new hire labels and folders.
  • Maintain organized pre-K binders with contracts and sign-in sheets for each school.
  • Log daily UPS and FedEx packages and maintain a record for residential deliveries.
  • Prepare interview paperwork as instructed by Human Resources.
  • Keep the staff directory updated and distribute it when changes occur.
  • Replace copier components and notify the Executive Office Manager when supplies need replenishing or service is required.
  • Assist with miscellaneous copying tasks for the administrative staff.
  • Support the maintenance of accurate donor records to ensure effective mailing lists for fundraising initiatives, events, and newsletters.
  • Facilitate the donation acceptance and acknowledgment process, which includes sorting mail, preparing donations for recording and deposit, entering information into the eTapestry database, proofreading acknowledgments, and mailing them.
  • Assist in the planning and execution of fundraising campaigns and special events, including researching potential donors and sponsors, processing mailings, and providing logistical support.
  • Engage with donors in person upon their arrival.
  • Coordinate volunteers for special projects and events.
