Position Overview:
The HR Operations Coordinator role is newly established and reports directly to the HR Manager as part of a global HR team. This position encompasses all aspects of HRIS management, payroll processing, timekeeping, leave administration, benefits coordination, recruitment activities, interview scheduling, and onboarding of new hires. Additionally, you will oversee office management duties, ensuring the facility meets employee needs, hosting visitors, managing vendor relationships, and providing administrative support to global executives. You will also contribute to key projects as a member of our Global HR team.
Key Responsibilities:
HR Operations
- Oversee HRIS, payroll, and timekeeping systems, ensuring data accuracy and integrity.
- Lead the annual benefits enrollment process, including communication and addressing employee inquiries.
- Manage payroll for approximately 90 employees bi-weekly, including data entry, document tracking, and verification of payroll processes.
- Maintain employee personnel files in both hardcopy and electronic formats.
- Coordinate recruitment efforts, including job postings, interview scheduling, and candidate management.
- Facilitate new employee orientation sessions.
- Organize HR communications and employee engagement activities.
- Administer leave management processes.
- Prepare HR metrics, reports, and surveys as requested by the business.
- Manage all workers' compensation claims.
- Lead community engagement initiatives and team-building activities.
- Implement process improvements as needed.
- Support the Global President and other leaders with administrative tasks, including calendar management and travel arrangements.
- Coordinate on-site meetings and visitor logistics, including agenda preparation and catering.
- Manage vendor relationships for office supplies and services.
- Prepare reports, presentations, and complex documents as required, including coordination of virtual meetings.
- Reconcile expense reports for global leaders as needed.
- Respond promptly to changing demands and proactively adjust plans as necessary.
- Bachelor's degree in business, human resources, or a related field is required.
- A minimum of 3 years of experience in a similar HR role, preferably in a manufacturing setting.
- Familiarity with HRIS, timekeeping, and payroll systems is essential.
- Strong attention to detail and excellent organizational skills.
- Ability to thrive in a fast-paced, deadline-driven environment.
- Team-oriented with strong interpersonal skills.
- Excellent verbal and written communication abilities.
- Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
- Experience handling confidential information with discretion.
- Prior experience with leave management and workers' compensation is required.
- Bilingual in English and Spanish is preferred.
- Knowledge of relevant federal and state employment laws is beneficial.
