The Front Desk Administrative Coordinator will report to the Facility Manager (Salt Lake City) and will be responsible for providing support to our engineering facility. This position requires a self-starter who can work independently, anticipates the needs of the team, and takes initiative to seek out and resolve problems with limited direction. In addition to being organized and analytical, the role benefits from someone displaying excellent problem-solving skills when faced with challenging deadlines and thrives in a dynamic environment by being flexible in the face of change. This is a team member who is dedicated in nature, inventive, and has a passion for helping others. This is a master multitasker who has strong business judgment and interpersonal skills that are needed to interact with a variety of people across multiple job functions and levels.
Responsibilities:
What You'll Do:
Deliver upon the service expectations of the department by listening to their needs, engaging in positive interactions, and following through on commitments made in a thoughtful, efficient,?timely?and courteous manner so that total outcomes are better than expected.?
Guide a variety of projects with a sense of urgency, attention to detail, and precision. Must understand the level of urgency based on the written or verbal request and work to resolve as needed.?
Greet visitors, direct vendors, assist in managing deliveries, and monitor security systems.
Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
Plan and coordinate meetings, conferences and/or travel for individuals, groups or the department as needed.?Assist?in coordinating calendars for departmental meetings, interviews, and off-site functions.?
Attend?meetings to capture actions and?establish?a personal follow-up system to ensure deadlines are met.?
Proactively?identify?ways to enable greater productivity and efficiency in the role and communicate with departmental leadership on suggestions to improve processes.
Accurately generate forms, charts, tables, emails, reports, correspondence, and other material?in a timely manner.?
Initiate and manage credit card orders and purchasing requests as needed for facility operations and maintenance.
Process approval requests, and communicate with accounting by?providing?details if needed.
Assist?in?maintaining?filing systems and shared folders while closely?monitoring?user permissions.?
Organize and maintain office supplies. Stock breakroom and ensure the area is clean, orderly, and equipment is in good working order.
Qualifications:
Minimum Requirements:
High School Diploma or G.E.D.
3+ years of relevant professional experience in an administrative support role.
Strong calendar management, meeting scheduling and coordination, event planning, expense reporting, and data reporting.?
Possess a professional and welcoming presence.
Demonstrated excellent verbal and written communications skills.
Ability to work proactively and strategically,?anticipating?needs and suggesting solutions to improve administrative processes.
Demonstrated ability to handle confidential information and exercise good judgment.
Possess excellent organizational, multi-tasking, time management and problem-solving skills with decision making ability, must be a quick thinker and comfortable?taking action?as needed to get things done.?

Preferred Requirements:
Experience working in an engineering or warehouse environment.
Experience using Maximo EAM.
Physical Requirements:

Must be comfortable working within radiation environments and/or GMP.
Must be able to sit for long periods of time.
Frequent use of computer with repetitive use of keyboard, mouse, and manual dexterity.
