The incumbent provides administrative support functions related to event registration and travels onsite to provide registration assistance formajorconferences. This position works in the online housing area to oversee hotel reservations for MBA registrantsand isalso responsible forthe creation ofsignature conference websites with assistance from the Director of Meetings. PRIMARY RESPONSIBILITIES Process exhibit booth, affiliate function spaceandsponsorship payments in the association management software system, working with Finance to ensure accurate and timely processing of these payments. Responsible for overseeing housing reservation system set-up, developing and loading housing confirmation letters, creating and updating forms, creating and updating housing SOPs, creating housing telephone scripts related to events for the customer service number, checking and responding to the MBA Housing mailbox, generating rooming list, and performing room block audits. Serve as liaison between MBA and housing reservation platform vendor, providing technical assistance to registrars on all events. Oversees the closing of room blocks andassistthe event planneronrooming list agreements and audits. Demonstrates knowledge of theset-up process in theassociation management software which identifies data fields for tracking revenue and generating critical statistical, financial and volume reports. Responsible for inbound and outbound call management and responding to member & customer requests and inquiries regarding event registration and meetings. Provides onsite registration support for conferences. Activelyseek opportunities tocross sellall MBA products and services. Identify, research, and resolve customer issuesutilizingthe association management software.Follow-upon customer inquiries not immediately resolved. Responsible for housing management and responding to inquiries within 24-48 hours. Generates registration lists and badges,runningcanned association management software reportsandperformingdata audits and edits. This position description should notbe construedto contain every function/responsibility that may be requiredto be performedby an incumbent in this job. Incumbents are required to perform other functions as assigned. SPECIFICATIONS The ideal incumbent will possess a high school diploma, two to four years of experience in a high call volume and data processing area, proven attention to detailandthe ability to manage multiple tasks. Administrative experience in an associationand/orfinancial services environmenthelpfulin addition todemonstrated experience working with association management softwarerequired. Strong communication, analytical, organizationalandinterpersonal skills required. Experience facilitating onsite events preferred.Incumbentmust have a strong demonstrated commitment to customer service. Produces grammatically correct communications for internal & external customers.
