Position Purpose

The parts specialist coordinates the procurement and distribution of parts and supplies, to ensure the city's fleet is properly maintained and functioning efficiently. The position tracks tire usage, accidents, fabrication repairs and files reports for the reimbursement of funds.

The City of Arvada promotes Equal Pay for Equal Work. Starting salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity. The range listed reflects the entire range and typical placement is entry to mid range.

Essential Functions / Knowledge, Skills and Abilities

ESSENTIAL JOB FUNCTIONS

  • Maintains inventory by distributing and replenishing parts and supplies.

  • Orders and distributes special ordered parts and supplies.

  • Generates accident and fabrication work orders and generates monthly spreadsheets for reimbursement.

  • Generates work orders for issuing parts and supplies.

  • Coordinates pickup and delivery of parts and supplies.

  • Evaluates inventory for proper stock levels.

  • Oversees specialty tool crib use by city technicians.

  • Maintains fleet bid log spreadsheet.

  • Fuel island and waste oil tank as per state requirements.

  • Evaluates tire tracking spreadsheet.

  • Processes invoices for payment through the city's financial programs.

  • Creates purchase orders and releases through the city's financial program.

  • Utilizes city, state, and federal purchasing requirements and processes.

  • Meets and negotiates with vendors.

  • Communicate and interact with all levels of personnel both within and outside the organization.

  • Exercise initiative and judgment.

  • Frequently operates a personal or City-owned motor vehicle to drive to and from work locations throughout the City.

  • Demonstrates a respectful attitude towards customers and coworkers that promotes teamwork, open communication, and effective customer service.

  • Acts with the customer in mind, responds to requests promptly and provides effective services or solutions for customers.

  • Exercises appropriate level of initiative and judgment to make decisions within the scope of assigned authority.

ESSENTIAL KNOWLEDGE, SKILLS AND ABILITIES

  • Strong knowledge of automotive parts with a strong emphasis on purchasing.

  • Ability to effectively communicate information, both verbally and in writing, to support organizational objectives and interact with all levels of personnel within the city in a positive and cooperative manner.

  • Basic knowledge of accounting practices.

  • Working knowledge of municipal financial and budgeting process.

  • Proficient computer skills.

  • Ability to prioritize and organize time.

  • Frequently operates a personal or City-owned motor vehicle to drive to and from work locations throughout the City.

SCOPE OF AUTHORITY:

Receives supervision under the direction of the fleet services coordinator. Daily priorities are self-established. Expected to evaluate and respond to situations that demand immediate attention. Generally detailed procedures cover the majority of the work but often time's decisions have to be made based on organizational policy and/or precedent.

Financial Accountability:

Makes decisions that affect the outcome of allocation of monies for projects. Makes recommendations to the fleet services coordinator for budget allocations that pertain to functional area. Responsible for writing purchase orders for replacement parts and supplies. Approves expenditures up to a defined amount.

SUPERVISION EXERCISED:

No direct supervisory responsibility. Makes recommendations to the fleet services coordinator for assigning and scheduling work of the temporary parts runner.

COMMUNICATION/WORKING RELATIONSHIPS:

Internal Contacts: Fleet mechanics and supervisors, employees and supervisory staff of other city departments.

External Contacts: Vendor sales representative and support personnel.

Qualifications - Working Environment / Minimum Qualifications

WORKING ENVIRONMENT/PHYSICAL ACTIVITIES:

The work environment/physical activities described here are representative of those an employee encounters while performing the essential functions of the job.

Work is primarily performed in an indoor environment with occasional exposure to excessive noise. This position requires moderate physical work with moderate lifting, pushing, or pulling of objects up to (50) fifty pounds occasionally and/or up to (20) twenty pounds frequently.

MINIMUM REQUIRED QUALIFICATIONS (EDUCATION, LICENSE, TRAINING AND EXPERIENCE):

High school diploma or GED. Five (5) years' experience in an automotive and/or heavy equipment parts fleet environment with a strong emphasis on purchasing. The ability to operate a motor vehicle. A valid Colorado driver's license and acceptable driving record is required.

MATERIAL AND EQUIPMENT DIRECTLY USED:

Standard office equipment. Microsoft suite of office products, Faster Fleet, Oracle financial. Automotive and/or equipment parts catalogs and service manuals.
