Position Summary:
This is an Office position but may also require some field work requiring a reliable vehicle, good driving record, current insurance, phone, and computer. Must have accurate GPS (can use phone) that operates properly to locate properties.

Key Responsibilities:

- Provide exceptional customer service in all interactions.
- Maintain accurate records of all correspondence.
- Communicate effectively with property owners, tenants, and maintenance contractors/vendors/Home Warranty companies to provide updates and answers to inquiries as needed.
- Scanning & uploading documents to the cloud storage. Filing all documents to storage once scanned to the cloud.
- Processing bills and invoices, including data entry with attention to detail.
- Filing according to office protocol and maintaining the file cabinet.
- Processing rent payments, following up on late payments and notifying the Owner. Processing late fees, legal notices, credits, and charges as needed. Facilitating collection and eviction accounts.
- Creating and processing work orders in the absence of the Work Order Coordinator.
- Communicating HOA violations to the Tenant & Owner and following up until completed. Notifying the HOA of completion.
- Updating Buildium (Property Management Software) with any changes to contact information, renter’s insurance, and additional information.
- Marketing to include managing current social media accounts, creating & sending Tenant/Owner newsletters, in addition to adding other marketing strategies.
- Processing rental verifications and following all privacy/fair housing laws.

Qualifications:

- High school diploma or equivalent; relevant certifications or coursework in property management or related fields is a plus. Property management experience a plus.
- Having a Real Estate Salesperson’s license is not mandatory to start. However, for long term growth in the Real Estate industry and your career, having a Salesperson’s Real Estate license will be a requirement. The concept behind this will be discussed.
- Must have excellent customer service/people skills, excellent phone/communication skills, both written and verbal. This position will be working with Property Owners (clients), Tenants (customers) and Vendors daily. Being detail minded, a problem solver, and punctual with office hours (10am to 5pm Monday through Friday). Fast learner.
- Moderate to high understanding of general home and property systems knowledge. Requires being detail minded, a problem solver and the ability to help troubleshoot property/dwelling repairs and maintenance on an immediate and/or long-term planning basis to maintain/preserve the properties we manage.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Ability to remain calm and composed under pressure.

PAY - The pay range given in this posting is based on experience and is just to start. The sooner the Office Operations Coordinator role is learned and 100+% managed/advanced by the Team Member, the sooner the pay will increase. This will be discussed.

Pay: $19.00 - $20.00 per hour
