Job Title: Property Operations Coordinator
Reports To: Property Manager
FLSA Status: Non Exempt

GENERAL PURPOSE OF JOB:

The Property Operations Coordinator plays a vital role in supporting the Property Manager with daily operations to ensure the financial success of the property. This includes adhering to established policies and procedures, fostering positive staff and resident relations.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Delivering outstanding customer service.
  • Handling inquiries via phone and email, assisting current residents, and welcoming prospective tenants.
  • Assisting the manager with financial processes, including rent collection, issuing late notices, monitoring delinquencies, and maintaining records.
  • Learning operational procedures to ensure continuity in the manager's absence and ensuring compliance with financial policies.
  • Supervising on-site staff when the Property Manager is unavailable.
  • Maintaining accurate third-party utility billing to optimize capture ratios.
  • Managing resident communications, including checking and responding to messages daily.
  • Planning and organizing community events for residents and ensuring timely responses to their requests.
  • Creating and distributing newsletters, flyers, and other communications to residents.
  • Ensuring office organization, maintaining work order systems, and keeping lease documents orderly and properly signed.
  • Overseeing property tours, including setting up show units and ensuring common areas are presentable.
  • Conducting apartment showings and developing knowledge of property features and market trends to effectively lease units.
  • Mastering communication techniques for phone interactions, closing sales, and following up with potential tenants.
  • Assisting in training leasing consultants as needed.
  • Managing lease renewal processes and ensuring all documents are completed accurately in the management software.
  • Handling move-out procedures, including inspections, key collection, and documenting charges.
  • Following up with former residents regarding outstanding balances and coordinating with collection agencies as necessary.
  • Maintaining the resident service request system, including processing work orders and following up with residents post-completion.
  • Collaborating with maintenance to ensure units are ready for new tenants, including scheduling and inspections.
  • Conducting market surveys to gather competitive data on pricing, occupancy, and amenities.
  • Preparing weekly status reports detailing leasing activities and statistics.
  • Assisting the manager with monthly reporting requirements.
  • Maintaining a professional appearance at all times.
  • Completing additional tasks as assigned by the Property Manager or regional supervisor.
EDUCATION and / or EXPERIENCE:
  • High school diploma or GED equivalent.
  • Preferred experience in property management.
COMPUTER & EQUIPMENT SKILLS:
  • Proficiency in Microsoft Office.
  • Experience with Yardi is preferred.
WORK ENVIRONMENT:
  • Moderate noise levels typical of a busy office environment.
VISION REQUIREMENTS:
  • Close vision required for viewing computer screens.
