Event and Travel Coordinator

**Essential Duties and Responsibilities**:
- Searches for prospective meeting sites
- Issues request for proposals to all the sites
- Reviews proposals and makes recommendations to top management
- Assists with support services, coordinates with the facilities, prepares site staff for meetings, and works with the technology department to set up all forms of electronic communication needed for the meetings and conventions
- Manages meeting logistics
- Arranges transportation and lodging reservations
- Works with marketing to ensure all necessary supplies are ordered and transported to the meeting site on time
- Conducts short
- and long-term planning and management for events
- Assists in developing budget for events
- Builds relationships with vendors and other business partners by researching and contracting with qualified, high-value service providers and nurturing partnerships with other organizations and businesses
- Conceives of and assembles creative and innovative event themes and attractions to enhance event experiences and goals
- Books and inspects banquet and catering functions, hotel accommodations, meeting facilities and other spaces necessary for events
- Collaborates with team members, volunteers and contractors to deliver successful meetings and conferences
- Communicates complex operational directives clearly
- Works effectively on multiple simultaneous projects with competing deadlines
- Demonstrates excellent interpersonal skills, including customer service and leadership skills
- Shows strong organization and project management skills
- Quantitative and analytic skills are a must
- Knowledge of general office software, particularly Google Workspace and the ability to use financial and travel software
**Education and Experience**:
- Meeting and event management or hospitality management degree a plus
- 2-3 years experience in a travel, event or catering environment
