**JOB SUMMARY**:
The Office & Marketing Assistant is a part-time role and supports both the office as well as the marketing team with a variety of accountabilities including administrative support, event coordination, and marketing support.

**PRINCIPAL DUTIES AND RESPONSIBILITIES**:
Administrative Support
- Answers incoming phone calls and routes calls/messages
- Maintains front desk area, reception area, conference rooms and kitchens. Ensures coverage when away from area
- Welcome visitors and follows security procedures for entering relevant information into the visitor logbook, issues guest badges as necessary
- On a weekly basis distributes a copy of the log to President, FSO, HR and Executive Assistant
- Manages inventory for office and kitchen supplies, works with Executive Assistant to ensure no shortages
- Assists with business cards, creating and ordering
- Assists with special events as needed
- Assists with creating staff badges
- Other duties as assigned

Marketing Support
- Provide support to the external marketing team with onsite marketing requirements, obtains direction from fractional head of marketing and marketing manager to ensure smooth marketing operations
- Manages online marketing SharePoint file system, maintaining source brochures/collateral files
- Supports the organization and logistics of tradeshows and events, including placing orders for tradeshow requirements, tracking event budgets, booking hotels, packing and shipping the booth, collateral, demo equipment etc.
- Provides content creation support for social media channels (LinkedIn, X), website updates and news/blog content
- Supports the creation of marketing materials, presentations, and reports. Proofreads and edits marketing content as required
- Supports the execution of marketing programs and campaigns through HubSpot
- Maintains project lists and reports for tracking expenses, budgets, tradeshow details etc
- Assists with marketing materials, keeping stock, updating as necessary

**KNOWLEDGE, SKILLS, AND ABILITIES**:

- Ability to multi-task efficiently, work in a fast-paced environment on multiple projects and have a strong attention for detail
- Must be able effectively and accurately communicate information to management, customers, and employees
- Collaborative approach to projects and tasks, working across departments to ensure effective project execution
- A self-starter with a proactive approach to problem solving and process improvement
- Proficient with Microsoft Suite of products, as well as Adobe Suite and general image and content creation
- Familiarity with digital marketing platforms and data analytics tools, such as HubSpot, SEMrush, social media platforms (LinkedIn, X), WordPress
- Excellent copy-editing skills and attention to detail
- Experience with managing and creating spreadsheets
- Experience with supply management and inventory control
- Must be comfortable lifting 5 - 50lbs
- High level of confidentiality, diplomacy, and maturity
- Ability to recognize and protect confidential and proprietary information.

Job Location: This position will be based in our Manassas, VA office and may travel occasionally.

**JOB REQUIREMENTS**:

- High School Diploma

**PREFERRED**:

- 1 year office admin
- 1 year of marketing experience
