The Administrative Assistant will provide critical support to our project management, procurement, and sales teams, ensuring smooth operations and efficient coordination across multiple functions. Essential functions may include, but are not limited to: 
  • Assist project managers in maintaining project schedules, tracking milestones, and monitoring project progress. 
  • Coordinate project documentation, change orders, proposals, and deliverables. 
  • Prepare and distribute project reports and other relevant materials.
  • Update project manager on lead times and delays. 
  • Assist the procurement team in sourcing, evaluating, and selecting suppliers/vendors. 
  • Manage purchase orders and ensure timely delivery of goods and services. 
  • Maintain accurate records of procurement activities.
  • Coordinate with internal stakeholders to gather procurement requirements and resolve any issues that arise. 
  • Collaborate with Accounts Payable when invoices and purchase orders do not match pricing or item descriptions.
  • Work with warehouse and receiving when packing slips and purchase orders do not match items or quantities.
  • Provide administrative support to the sales team, including managing correspondence, and preparing sales reports. 
  • Assist in the preparation of proposals and contracts. 
  • Maintain customer and prospect databases, ensuring accurate and up-to-date information. 
  • Collaborate with the sales team to coordinate sales activities, track leads, and support customer relationship management. 
  • Perform general administrative duties such as filing and organizing documents. 
  • Schedule and coordinate meetings and appointments. 
  • Assist in organizing and coordinating events, conferences, and other company activities. 

QualificationsPreferred
Associates or better in Entertainment Management or related field.

Experience
Required
  • 1 year: Experience and/or training in entertainment
  • 1 year: AV Experience

Base Salary Range: $17.95/hr - $26.61/hr. This represents the low and high end of the company's base salary range for this position. The actual base salary range may vary based on various factors, including but not limited to experience.
