Title: Administrative Coordinator
Responsibilities include but are not limited to:
Diesel and Gas Garage
- Assist Service Writer and Lead Technician in day-to-day operations.
- Multitask to suit the needs of the office in a timely manner, according to deadlines.
- Receive and Direct Customers, Vendors, Partners and Visitors.
- Answer phone and take detailed messages.
- Strive to provide the highest level of Customer service to our Customers, Partners, Vendors, Visitors and all Team members.
- Help Service Writer and Lead Technicians - WOW every customer through all phases of the repair process.
- Ensure insurance partners, fleet customers and customers are supported in a timely and professional manner.
- Build relationships with customers by effectively responding to calls, text messages, and walk-in business.
- Coordinate communications between customers and our team.
- Weekly Inventory Management - returns and cores.
- Approve, coordinate, track and record all day to day transactions.
- Provide Parts runner with PO's for; Part purchasing, returns and cores.
- Manage customer files; RO, Customer profile with vehicle truck and/or trailer condition report, process and issue RO-barcode, purchase receipts, invoices, returns, cores, third party services, storage fees and final invoice and payment confirmation.
- Manage DGG's internal Inventory - invoice parts used.
- Review final invoice generated by Technicians & Service Writer based on PO's, operating costs, parts, associated fees with appropriate personal and email to Customer.
- Manage payment process which could include credit, check and cash handling.
- Bilingual - English & Spanish
- Quickbooks and previous auto repair experience a plus.
- Perform other duties as assigned.
Monday - Friday 8am - 5pm
Saturdays 8am - 2pm One Saturday on - One Saturday Off
Compensation:
- Biweekly direct deposit
- Three Month Probation Rate: Sixteen dollars ($16-18.00) per hour
- Full-time Employment Rate: $18-$20 hour determined by experience and commitment
Bonus Structure Requirements:
- Completes all daily billing & payment processing, day-to-day data entry and filing. Manages returns and cores. Completes tasks appointed, scheduled and/or those that are apparent. Manages our Customer Relationships with Honesty, Accountability and Responsibility.
- Customer are satisfied with the level of service provided all the way through (from appointment scheduling to asset pickup), and leave a genuine positive google review.
- Customers, Vendors, Visitors and Team Members are greeted and treated with respect at all times. Our priority will always be to provide the highest level of Service and attention.
- Attendance accountability: Tardy, unexcused time-off, no show, leaves early without excuse, does not perform.
Benefits
- Vacation (PTO) Five (5) days within the first physical year (after 90 days)
- Sick days: Five (5) days (after 90 days)
- Personal Days: Three (3) personal days (after 90 days)
