Job Summary

The Administrative Assistant provides administrative support and assistance for the St. Anthony Catholic University Center.

Key Responsibilities
  • Serve as receptionist for visitors and provide a welcoming environment for guests.
  • Provide various administrative support for the St. Anthony Catholic University Center, including data entry, record-keeping, and communication.
  • Respond to and resolve administrative inquiries and questions in a timely and professional manner.
  • Conduct database management to include parishioner registration, tracking, and reporting.
  • Maintain accurate and up-to-date records of sacraments and other important documents.
  • Create and organize communication efforts through various channels to keep stakeholders informed.
  • Maintain calendars for the Chaplain and St. Anthony facility, ensuring seamless coordination of events and activities.
  • Coordinate priests for coverage of Masses and other liturgical events.
  • Prepare and distribute mass commentator scripts and other important announcements.
  • Adhere to safety protocols and take precautionary measures to ensure the safety and well-being of self, others, and the organization.
  • Protect the confidentiality of sensitive information and adhere to the Code of Conduct and Faith and Moral Policy.
  • Collaborate with team members to promote a solution-oriented approach and commitment to the Mission and Vision of the organization.
  • Perform other duties as assigned by management.
Requirements
  • High School Diploma or Equivalent
  • Minimum of one to three years of administrative or general office experience
  • Reliable transportation
  • Bilingual in English and Spanish preferred
  • Basic understanding of the Catholic Faith
  • Excellent interpersonal and customer service skills
  • Experience with Computer Software, Microsoft Office Suite applications, and Google Calendar
  • Must be detail-oriented, organized, self-motivated, and able to work well independently and on a team
  • Must have good written and verbal skills
  • Must have good critical thinking and problem-solving skills
