Job Summary:

The Administrative Specialist plays a crucial role in ensuring smooth operations within the organization. They are responsible for a wide range of administrative tasks that support the overall functions of the company. This role requires a high level of organization, attention to detail, and the ability to handle multiple tasks simultaneously. This role serves as the backbone of the organization, helping to coordinate various projects and ensuring that everything runs smoothly.


Duties & Responsibilities: 

Operations Efficiency:

  • Assign and organize company equipment for onboarding and offboarding. 
  • Enhance and maintain the efficiency of daily company operations.
  • Receive and route incoming mail and invoices.
  • Expense report tracking.
  • Ensure proper functioning of office systems.
  • Troubleshoot basic technical issues.

Business Licenses and Lease Agreements Management:

  • Track and monitor the expiration and renewal dates of both Magnum and Magnum R&R business licenses and lease agreements.
  • Communicate renewal timelines and requirements prior to expiration.

Communication and Scheduling:

  • Manage and prioritize incoming and outgoing communications such as physical mail, admin@magnum email.
  • Schedule and coordinate meetings, appointments, and conferences.
  • Administrate travel and accommodations process for staff as needed.
  • Coordinate catering, audiovisual equipment, and other logistics for events.
  • Manage Calendar & Events to ensure seamless organization-wide coordination.

Document Management:

  • Maintain an organized filing system for documents and records.
  • Handle communication with business vendors and insurance providers.

Insurance Policy Management and Claim Assistance:

  • Manage and track insurance policies business wide.
  • Assist with business claims and ensure timely processing.
  • Conduct information audits and maintain accurate records.

Vendor and Facilities Management:

  • Oversee maintenance of Magnum and R&R  office equipment and facilities.
  • Manage relationships with building management and maintenance contractors across all Magnum and R&R locations.

This position will work closely with all team members and departments. This position is going to be key to the success of Magnum Bikes. This summary is not an all inclusive list and may not  include all duties that will be assigned to this position and can be changed at any time. 


Qualifications: 

  • Bachelor's degree in a related field preferred.
  • Proven experience in administrative roles.
  • Proficiency in G Suite and MS Office Suite (especially Excel).
  • Strong attention to detail and accuracy.
  • Excellent organizational and time-management skills.
  • Effective communication and interpersonal abilities.
  • Ability to work independently and as part of a team.
