This role functions as the Administrative Support Assistant within the West Desert District of the U.S. Department of the Interior, providing essential clerical and administrative services.
Key Responsibilities
- Act as the first point of contact for visitors, offering guidance on various programs and directing inquiries to the appropriate personnel.
- Manage incoming phone communications, identifying caller needs and either addressing inquiries or routing calls to the relevant staff.
- Issue permits for activities such as Christmas tree cutting, mineral extraction, and recreational use, while also selling maps and informational brochures.
- Maintain organized records of all permits issued and sold.
- Serve as a timekeeper, assisting colleagues with their time and attendance entries in the payroll system.
- Oversee the central filing system, ensuring that official records, directives, and technical references are properly maintained.
- Handle financial transactions as a collections officer, processing payments received via mail and in-person through the Bureau's Collections and Billings System.
- Process and distribute daily mail, ensuring timely receipt and organization of correspondence.
- Draft, edit, and finalize official correspondence for supervisors and management.
- Utilize various software applications for administrative tasks, including word processing, spreadsheets, and database management.
- Perform general clerical duties such as photocopying, filing, and data entry.
