Chrysalis Center for Counseling and Eating Disorder Treatment in Wilmington, NC, is seeking a Temporary Part-Time Administrative Assistant to join our compassionate team. Compensation:

$17 - $18 hourly

Responsibilities:

This is a temporary part-time position. Expected hours are 8:30 a.m. to 12:30 p.m. Monday through Friday ONLY for the dates listed below:

Essential Functions:

Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.

  • Assist clinical staff and management with administrative tasks.
  • Answer telephone calls, speak and listen attentively, and direct calls accordingly. Respond to voicemails in a timely manner.
  • Receive the public and answer questions in person, by telephone, and by email.
  • Act as the first impression for Chrysalis clients and guests by providing a professional and caring environment.
  • Collect payments from clients on the day of service and log payments appropriately in the EMR system.
  • Strive to fill any available appointments by calling clients on a waitlist and exploring all possibilities.
  • Relay cancellations, significant events, and other relevant information from clients to clinicians.
  • Oversee the waitlist and schedule for all clinicians, filling appointments whenever possible.
  • Operate office machines as required.
  • Photocopy, fax, and scan documents as needed from clinicians or management.
  • Compose, type, and edit correspondence, reports, spreadsheets, and other electronic documents.
  • Maintain office supply inventory and report low inventory to the Office Manager.
  • Maintain confidentiality and adhere to HIPAA standards at all times.
  • Demonstrate knowledge of and support, Chrysalis Center’s mission, vision, values, standards, policies, procedures, confidentiality standards, and codes of ethical behavior.
  • Perform other duties as instructed by management.

Work Environment:

While performing the duties of this position, the employee will be provided with a workstation including a desk chair, computer, phone, and office supplies. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. The noise level in the work environment is usually quiet. Position Type and Expected Hours of Work:

This is a part-time position requiring 20 hours per week. Expected work hours are between 8:30 a.m. and 12:30 p.m., Monday through Friday, for the dates listed above.

Qualifications:

Required Education & Experience:

  • High School diploma or equivalent, with coursework in general studies or office administration.

Preferred Education & Experience:

  • Two or more years of related experience in a medical or behavioral health office.
  • Associate's Degree or Certificate in a Medical or Customer Service field.

Additional Eligibility Qualifications:

  • Ability to type 50 words per minute and operate a Windows-based personal computer.
  • Proficiency in Microsoft Word, Forms, and Excel.
  • Must pass a criminal background check.
  • Excellent communication skills are required.
