Office Assistant/Project Support Specialist

- Greet and assist walk-in traffic, answer and direct incoming calls.
- Distribute mail and manage correspondence, copying, faxing, and filing.
- Requisition office supplies and organize incoming shipments.
- Provide IT support as a backup to the Controller and troubleshoot office equipment.
- Maintain cleanliness and professionalism in public areas.
- Ensure the security, integrity, and confidentiality of data.
- Assist project managers with set up of new projects including data entry from estimates and process contract change orders
- Process and track subcontracts and compliance.
- Create and submit purchase orders as needed for jobs.
- Scan and file job-related documents during and after job completion
- Support Field Operations Manager, Project Managers, and Superintendents as needed.
- Process incoming vendor invoices, match with supporting documentation, and enter into accounting software
- Review monthly vendor statements and assist with processing payments.
- High school diploma or equivalent; additional qualifications in office administration or related fields are a plus.
- Proven experience as an office administrator, project support specialist, or similar role.
- Proficiency in Microsoft Office Suite and familiarity with office equipment. Experience with Procore and/or other construction related software preferred but not required.
- Excellent organizational and multitasking abilities.
- Strong communication and interpersonal skills.
- Attention to detail and problem-solving skills.
- Ability to maintain confidentiality and project a professional image.
- Bilingual capabilities a bonus but not required.
