  • Greet and assist walk-in traffic, answer and direct incoming calls.
  • Distribute mail and manage correspondence, copying, faxing, and filing.

  • Maintain cleanliness and professionalism in public areas.

Project Management Support Responsibilities:
  • Assist project managers with set up of new projects including data entry from estimates and process contract change orders
  • Process and track subcontracts and compliance.
  • Create and submit purchase orders as needed for jobs.
  • Scan and file job-related documents during and after job completion
  • Support Field Operations Manager, Project Managers, and Superintendents as needed.
Accounts Payable Responsibilities:
  • Process incoming vendor invoices, match with supporting documentation, and enter into accounting software
  • Review monthly vendor statements and assist with processing payments.
Qualifications:
  • High school diploma or equivalent; additional qualifications in office administration or related fields are a plus.
  • Proven experience as an office administrator, project support specialist, or similar role.
  • Proficiency in Microsoft Office Suite and familiarity with office equipment. Experience with Procore and/or other construction related software preferred but not required.
  • Excellent organizational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • Attention to detail and problem-solving skills.
  • Ability to maintain confidentiality and project a professional image.
  • Bilingual capabilities a bonus but not required.
