Job SummarySONIFI Solutions, Inc. is seeking a highly skilled Project Specialist to join our team. As a key member of our Professional Solutions team, you will be responsible for supporting the Third-Party Services team and customers throughout the full life cycle of various project types. This role requires strong organizational and communication skills, with the ability to work independently and as part of a team to coordinate projects, schedules, materials, and administrative functions.Key Responsibilities
  • Coordinate activities related to the Third-Party business process, ensuring timely and accurate execution.
  • Manage case creation, verification, and closure, as well as updates to Third-Party contacts as needed.
  • Interact with third-party partners to provide support and follow up on customer inquiries, requests, and issues in a timely manner.
  • Contribute to the development of internal procedures for service partner contact information, required forms, processes, and policies.
  • Process and interpret FWOs for projects and service requests to ensure proper invoicing in accordance with Third-Party partners and associated rate cards.
  • Assist Project Managers with Service & Project Requests to ensure accurate and timely responses.
  • Coordinate projects and special Third-Party needs, ensuring seamless execution.
  • Prepare and maintain accurate, detailed, well-organized, and documented files.
  • Oversee, research, and correct transaction errors, maintaining effective communication with customers.
  • Maintain accurate, detailed, well-organized data within SONIFI internal systems.
  • Provide remote support and escalation for calls/e-mails from Third-Party partners.
  • Contribute to the improvement of internal procedures for Third-Party information, contracts, required forms, processes, and policies.
  • Assist with user acceptance testing of internal applications, as necessary.
  • Promote and maintain positive working relationships while working to meet departmental and company goals.
  • Comply and adhere to departmental and company procedures and policies.
Requirements
  • Associate degree and a minimum 3 years of related experience, preferably in a technical environment; or the equivalent combination of education and/or work experience.
  • Ability to adapt to a technical environment.
  • Strong Microsoft Office (Word, Excel, PowerPoint, Outlook) skills.
  • Experienced providing outstanding customer service and delighting customers.
  • Excellent written and verbal communication skills.
  • Ability to adapt to changing priorities through the course of the day.
  • Excellent judgment and decision-making skills.
  • Detail-oriented and self-motivated.
