The Accounts Payable in-office Specialist works with all cash disbursements that leave the company and the compliance surrounding those disbursements. The Accounts Payable Specialist is responsible for processing payments on invoices in a timely manner and monitoring the company credit card system.

Essential Job Responsibilities:

  • Review invoice and check request submission to ensure approvals and general ledger allocation appear complete for processing.
  • Using Accounts Payable module, process all invoices and check requests by charging expense accounts.
  • Learn and maintain comprehensive knowledge of the Accounts Payable software modules.
  • Create and maintain vendor and customer lists within accounting software, including obtaining required W-9’s when necessary.
  • Create 1099’s for sole proprietors.
  • Research and resolve accounts payable related issues with vendors.
  • Process credit card statement charges.
  • Ensure all vendor invoices are filed with AP documentation.
  • Assist with month-end closing.
  • Assisting in general ledger accounting and preparing monthly account reconciliations of specific accounts as assigned
  • Maintain required job knowledge, skills, and core professional competencies.
  • Assist with monthly/annual accounting close and year-end audit.
  • Assist in record retention and disposal process for accounts payable and payroll department.
  • Assist with annual audit preparation.
  • Cross-train with other team members.
Requirements:

Education and Experience

  • Associate’s in Accounting or Finance.
  • 3-5 years of relevant experience
  • Education and non-profit experience preferred.
  • Advanced skills in Microsoft Office especially Excel, Word, and PowerPoint
  • Experience with general ledger software.

  • Knowledge of basic accounting theory and possess accounting skills.
  • Excellent verbal and written communication skills with ability to interact effectively with individuals at all levels, both internally and externally to the organization.

  • High level of professionalism with ability to handle sensitive and confidential information.
  • Analytical and problem-solving skills.
  • Hard-working, detail-oriented, and organized with strong ability to multi-task, problem solve in a high volume and demanding environment, and identify process improvement opportunities.
  • Ability to work independently and as part of a team.
  • Ability to use deductive reasoning, logic, and independent judgment and experience to accomplish objectives.
  • Presentation and public speaking skills are a plus.
