Position Purpose:

This position is in our implementation team supporting all sections within the department, providing administrative support and coordination. The Coordinator will perform duties including, but not limited to documenting processes for the department, ordering materials, coordinating meetings and events within the departments, and working on special projects as needed by the department.

Education & Experience:

  • High School or GED required.
  • College degree preferred.
  • Educational studies including business and project management preferred.
  • Proficient in using the following: Microsoft Office, Microsoft Dynamics preferred.
  • 3-5 years of experience in administrative or coordination role required.
  • Strong consideration will be given to candidates with previous professional experience in medical device, medical services industry or clinical office management.

Responsibilities & Essential Functions:

  • Coordinate workflow for the Clinical and Project Implementation teams. Including scheduling initial meetings, customer feedback, and customer questionnaires.
  • Complete weekly update emails including changes or need to know information for the teams. Including making external document updates for customer communications for technical and clinical updates to features or processes.
  • Manage ongoing process development and documentation. For example, such as documentation for integration services provided to customers.
  • Attend cross-functional department meetings representing leadership when needed, including process improvement and solution implementation meetings.
  • Provide document control services for internal documents, including verifying accuracy.
  • Manage inquiries from other departments for consultative input from respective team members. For example, manufacturing requesting verification device installation project alignment.
  • Complete the closing audit for all completed projects. Also, perform monthly and as-needed Dynamics audits to verify financial and project timelines.
  • Coordinate and ship all clinical educational materials deliverables on time.
  • Act as the LMS (Learning Management System) Administrator. Manage eLearning module accessibility for customers, including HealthStream for product learning.
  • Provide administrative support to the team members as needed.
  • Compile and distribute meeting notes and updates as needed.

Work Environment & Physical Demands:

  • Must be able to sit for much of the workday with periodic walking and/or standing.
  • Must be able to work in an office environment.
  • This position is full-time.
  • Must be able to lift up to 25 lbs for shipping educational materials.
  • This role is hybrid, working 1-2 days per week onsite in Belmont, MI.
