Position Overview

The Parts Supply Coordinator is accountable for providing maintenance teams with the essential tools, components, and information required to effectively maintain and repair all facility equipment. This role is crucial in ensuring accurate vendor part descriptions and inventory levels.

Key Responsibilities

  • Oversee efficient and precise physical inventory transactions related to Maintenance, Repair, and Operations (MRO), which includes receiving stock, distributing parts, processing returns, and conducting inventory audits.
  • Assist customers at the parts distribution window and document all disbursements accurately.
  • Ensure proper data entry of maintenance records and administrative tasks into the relevant maintenance systems, covering areas such as purchase orders, work orders, order points, invoice verification, restock orders, and preventive maintenance documentation.
  • Investigate order discrepancies, including backorders and delayed shipments with external suppliers, while facilitating timely delivery of ordered items in alignment with maintenance department needs.
  • Compile and generate various reports on a daily, weekly, monthly, and ad-hoc basis.
  • Manage the Continuous Maintenance Management (CMM) Program.

Work Environment & Physical Requirements

  • The role may involve working in environments with varying conditions, including humidity, extreme temperatures, and exposure to mechanical parts and chemicals.
  • Occasional lifting and moving of items weighing up to 75 pounds may be required.
  • Specific vision capabilities, including close vision and the ability to adjust focus, are necessary for this position.

Qualifications

  • A high school diploma or GED is required, along with a minimum of 2 years of experience in purchasing, inventory management, or vendor relations.
  • Strong written and verbal communication skills are essential.
  • Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint, is necessary.
  • The ability to collaborate effectively in a fast-paced and dynamic work environment is crucial.
  • Must demonstrate respect, approachability, and a team-oriented attitude to foster positive working relationships.
