The Executive Assistant's job role involves providing high-level administrative support to executives in an organization. This may include managing schedules, arranging appointments, organizing travel arrangements, and handling correspondence. The Executive Assistant will be responsible for participating in meetings, taking minutes, and preparing reports. Additionally, they will be responsible for managing budgets, coordinating projects. The Executive Assistant should have excellent communication and organizational skills, as well as the ability to work independently and handle confidential information. They should also be proficient in various software applications, including word processing, spreadsheets, and presentation software.

Core Responsibilities
  • Urgency: your priority is swiftly and proactively accomplishing the priorities of the Owner.

  • Calendar Management: Proactively manage and organize the Owner’s schedule, including meetings, appointments, and travel arrangements. Coordinate and optimize the Owner’s daily agenda to ensure maximum productivity

  • Home & Office: Support the Owner both at his home office and Headquarters office.

  • Professional & Personal Support: No task is too big or too small. Taking his car to get washed, organizing his office(s), or coordinating work efforts, you must be comfortable with an agile and rapidly changing environment

  • Travel Coordination: Arrange and plan complex travel itineraries, including flights, accommodations, and transportation.

  • Communication: Serve as a contact between the Owner and internal/external stakeholders. Handle emails and correspondence with professionalism and discretion. Maintain high-level understanding of interdepartmental processes to assist in facilitating appropriate communication. Maintain strict confidentiality of all sensitive information, including corporate data, personnel matters, and executive communications, ensuring that privacy and discretion are upheld at all times.

  • Document Preparation: Draft and edit reports, presentations, and other documents for the Owner and staff. Ensure the accuracy and confidentiality of all documents.

  • Meeting Support: Prepare agendas, distribute materials, and take minutes during meetings as needed. Follow up on action items and deadlines from meetings.

  • Administrative Tasks: Manage the Owner’s office supplies and equipment, ordering as necessary. Maintain organized physical and digital files and records.

  • Gatekeeping: Screen and prioritize incoming requests, inquiries, and visitors, directing them appropriately

  • Strategic Support: Assist in researching and compiling data for special projects or initiatives as requested by the Owner and staff. Play a vital role in helping the Owner meet project deadlines and strategic goals.

  • Budget: Coordinate budget activity through tracking, reconciling and processing payment requests, credit card purchases, reimbursement claims and budget reports.

  • Research and Analysis: Conduct thorough research on emerging technologies, industry trends, and competitors to support strategic planning and decision making.

  • Project Management: Assist in the planning and execution of technical projects, ensuring alignment with the company’s goals and objectives.

  • Other: Manage and execute Turo requests for Owner; find ways to optimize usage of vehicles to potential renters.


Qualifications:


  • Bachelor’s degree or equivalent experience preferred

  • Proven experience as an executive assistant supporting senior executives or Owners.

  • Detailed oriented, comfortable with basic Microsoft Excel or Google Sheets formulas.

  • Understands urgency and comfortable in a high speed environment.

  • Proficiency in Google Suite, Microsoft 365 Suite and Canva—able to proficiently prepare slides for presentations and build spreadsheets to support data tracking.

  • Excellent organizational and time-management skills

  • Exceptional written and verbal communication skills

  • Ability to handle sensitive information with confidentiality and discretion.

  • Strong interpersonal skills and a professional demeanor.

  • Ability to work independently and as part of a team.

  • Flexibility to adapt to changing priorities and demands; willing to work and respond outside the normal office hours, when needed

  • Knowledge of office management systems and procedures.

  • Willing to work and collaborate with other Executive/Personal assistants in support of company objectives.

  • Valid Driver's License; personal vehicle required

  • Experience in Project management preferred but not required
