Position Overview
The Office Administrator (OA) serves as a vital component of the rPlus Energies team, facilitating various organizational functions from reception to administrative support. The OA plays a crucial role in managing daily office logistics, ensuring a smooth workflow for the team.
Key Responsibilities
Office Management:
- Coordinate schedules and manage multiple calendars effectively.
- Assist the HR team with onboarding new employees.
- Oversee the maintenance and preparation of common areas and meeting rooms, initiating service requests as needed.
- Identify and implement process improvements and sustainable practices.
- Maintain inventory and organization of office supplies, cleaning materials, and refreshments.
- Coordinate catering services for meetings and events.
- Develop strategies to minimize waste and uphold cleanliness standards.
- Stay informed on health and safety regulations, implementing necessary changes.
- Act as the welcoming host for the rPlus Energies office, ensuring a positive experience for teammates and visitors.
Administrative & Document Control:
- Draft and maintain standard operating procedures (SOPs) and update company handbooks as required.
- Monitor expenses related to office supplies and logistics.
- Manage records for company vehicles, ensuring proper utilization and maintenance.
- Negotiate corporate travel arrangements and rates.
- Handle work orders, invoice reconciliation, and expense reporting.
- Oversee mail and package handling processes.
Events & Hospitality:
- Maintain a welcoming reception area and greet guests as needed.
- Coordinate scheduling and execution of internal and external meetings.
- Plan and organize office events, including team-building activities and celebrations.
- Collaborate with vendors to negotiate contracts and ensure timely service delivery.
- Implement health and safety protocols during events and office visits.
Team Member Support:
- Manage travel arrangements, including accommodations and reservations.
- Facilitate the execution of executive documents.
- Coordinate and manage all company team meetings.
- Maintain confidentiality in handling sensitive information.
- Support special projects and initiatives as directed by leadership.
- Assist with administrative tasks for the executive team as needed.
Qualifications
- 2-3 years of experience in office management; a bachelor's degree is preferred.
- Proficient in Microsoft Office Suite.
- Strong written, verbal, organizational, and interpersonal skills.
