POSITION SUMMARY

The Office Administrator answers incoming calls, oversees the company’s facilities and supplies and provides administrative support for the company.


ESSENTIAL JOB FUNCTIONS

  • Maintenance, Systems, Supplies (Duluth offices)
    • Assist with all building layout, operations, and maintenance as directed
    • Unpack office supply orders and put them away in appropriate locations
    • Maintain a clean and organized office environment including seasonal décor
    • Coordinates office supply needs
    • Share office supplies needed with the Executive Assistant for overview and assist with ordering office supplies
    • Keeps track of all company supplies inventory including but not limited to: paper, cleaning and bathroom supplies, kitchen supplies, office/department needs in both Duluth offices
    • Maintains good relationships with all office vendors
    • Communicate all maintenance issues to the warehouse manager
    • Maintain inventory of the interview paper cabinet at all times


  • Administration (Duluth offices)
    • Assists managers with needs as requested
    • Answers incoming calls
    • Assists the Executive Assistant with planning and execution of company and community events
    • Prepare onboarding room for each onboarding
    • Prepare premailers for upcoming Appointments
    • Performs a variety of administrative tasks for the company as needed.
    • Assists with all company culture and community events
    • Make sure everything that needs to go interoffice (to Duluth to Metro and Metro to Duluth) happens in a timely manner
    • Maintain the DBS family board and audit monthly
    • Organize outgoing mail
    • Organize Duluth office events such as game night and etc.
    • Inventory collateral for Sales & Production and report to Marketing monthly

Requirements:

EDUCATION AND EXPERIENCE

  1. High school diploma or GED preferred
  2. 1+ years of experience in an administrative support role OR a combination of education and experience that illustrates a proven track record in this field.
