Summary and Nature of the Work:
 
  • The holder of this position is responsible for assisting the project manager(s) with coordination, documentation, and ordering of equipment for install based HVAC service projects.
  • The holder of this position provides administrative support through the organization and processing of contract documents, purchase orders and invoicing through the Company’s ERP/Accounting System, COINS OA.
  • The Project Coordinator will also process change orders, file Certificates of Insurance, assist with filing municipal permits and submit customer warranty letters.
  • The holder of this position must be organized, have attention to detail and an ability to work with the Project Manager and Field technicians to assist in all aspects of job coordination.
  • This individual directly contributes to the success of the projects by verifying all equipment and materials have arrived on time, undamaged and bundled for delivery to meet project deadlines.

Essential Duties:
Essential duties are listed below.  When necessary, additional duties may be assigned, and Rieck Services expects the position holder to exercise initiative to anticipate and prevent problems.
  • Set up project file and maintain throughout term of job
  • Order material and supplies for project
  • Coordinate project deliveries with parts / warehouse manager
  • Track equipment shipments and work with warehouse manager for notification of delivery
  • Input and update purchase orders into accounting ERP system
  • Identify best value suppliers for commercial HVAC supplies
  • Manage returns of unused material to suppliers and track credits from suppliers
  • Assist in the development and maintenance of productive and professional relationships with suppliers
  • File for Jurisdictional permits
  • Schedule inspections and notify project manager
  • Assist in management of HVAC supply inventory
  • Assist in identifying HVAC supply parts
  • Present a professional image at all times
  • Build and maintain relationships with vendors
  • Maintain a positive relationship with all departments of the company
  • Perform all other reasonable related duties as assigned

Qualifications and Skills:
  • Must be proficient in using Microsoft Office suite of products, ie., Outlook, Excel, Word; Teams and SharePoint preferred but not required.
  • Must be comfortable in using database, CRM and accounting systems
  • Time management and prioritizing skills.
  • Strong analytical and problem-solving skills.
  • Good communication skills, written and verbal.
  • Excellent customer service skills.
  • Must be able to satisfactorily pass a criminal background check and drug screen.
  • Must have valid driver’s license and able to meet Rieck Services qualifications to operate a vehicle on Company business.
