Welcome guests, answer and direct incoming calls, distributes mail, manages supplies, and provides administrative support to staff. Independent judgement is required to plan, prioritize and organize different tasks throughout each day.Essential Duties:
  1. Enter data accurately into project management system
  2. Finalize / bind / scan reports, compile submissions, ensure submissions are delivered (in-person or via mail) on time
  3. Provide administrative support to staff as required; word processing, documentation and correspondence preparation, submissions, etc.
  4. Assists with other related clerical duties such as photocopying, faxing, filing and collating
  5. Function as a backup for other administrative professionals within the group and support teaming activities
  6. Monitor / order office supplies monthly
  7. Monitor office equipment, schedule service as needed
  8. Schedules and coordinates office meetings and events
  9. Answer / direct phone calls to staff using a multi-line system
  10. Sort / distribute mail / shipments, prepare outgoing mail
  11. Greet / assist clients
Qualifications:
  1. Written and verbal communication skills, in both internal and client-facing settings
  2. Proficient in Microsoft Office, Adobe, Internet Explorer/Google Chrome, Deltek Ajera (a plus)
  3. Knowledge of administrative and clerical procedures
  4. Exceptionally well-organized / detailed, with the ability to manage / prioritize multiple tasks
  5. Ability to maintain a professional persona with flexibility, collaboration and a client focus
  6. Required: High school diploma or equivalent with one year of administrative experience
  7. Valid Driver’s License and reliable transportation
Work Environment:
  1. This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
  2. Hybrid Position – Routinely in the office Tuesday – Thursday (Mondays and Fridays are dependent upon project related work but typically are WFH)
  3. Monday – Thursday 9-hour shift / Friday 8:00 am – 12:00 pm
Physical Demands:
  1. This is largely a sedentary role; however, some lifting is required with larger submissions (multiple plan sets / reports being delivered to Township/County/mail). This would require the ability to lift and must be able to walk up two flights of stairs.
