**Administrative Assistant**

**Supervised By**:Executive Director

**Hours**:40 hours per week

**Primary Objective**:
The Administrative Assistant plays a vital role in supporting the non-profit residential program for veterans with mental health challenges, addiction, chronic homelessness, and other related issues. The primary objective of this position is to provide administrative and clerical support to ensure the smooth operation of the program and facilitate the delivery of services to veterans in need. The expectation is that this position will be in-person, with the possibility of occasional remote work as necessary.

**Clinical Responsibilities**:
While the Administrative Assistant does not have direct clinical responsibilities, they play a crucial role in supporting the clinical team by assisting with administrative tasks and facilitating communication within the program.

**Job Duties**:

- **Documentation and Reporting**:Assist with the maintenance and organization of program documentation, client files, and data entry, ensuring accuracy and confidentiality.
- **Communication**:Facilitate communication within the program by relaying messages, coordinating meetings, and distributing information to staff members, residents, and external stakeholders.
- **Record Keeping**:Maintain accurate and up-to-date records of program activities, such as attendance logs, resident sign-in sheets, and staff schedules.
- **Financial Assistance**:Assist with financial administrative tasks, such as processing invoices, reimbursements, and petty cash management, in collaboration with the finance department.
- **Data Management**:Assist with data collection and management, including maintaining databases, compiling program statistics, and generating reports as required.
- **Meeting Support**:Provide administrative support for program meetings, including preparing meeting agendas, taking minutes, and distributing meeting materials.
- **Resource Coordination**:Assist with coordinating resources and referrals for program participants, including connecting them with community services, support groups, and additional resources as needed.
- **Program Promotion**:Support program promotion and outreach efforts by assisting with the creation and distribution of promotional materials and maintaining social media platforms.
- **Compliance**:Ensure adherence to organizational policies, procedures, and regulatory requirements, including maintaining confidentiality of client information.

**Qualifications**:

- **Education**:High school diploma or equivalent. Additional education or training in office administration or a related field is preferred.
- **Experience**:Minimum of 2 years of administrative support experience, preferably in a non-profit or healthcare setting. Experience working with veterans or individuals with mental health and addiction challenges is a plus.
- **Organization Skills**:Strong organizational and multitasking skills to manage multiple responsibilities, prioritize tasks, and meet deadlines.
- **Communication Skills**:Excellent verbal and written communication skills to effectively interact with staff, residents, and external stakeholders.
- **Attention to Detail**:Strong attention to detail to ensure accuracy in documentation and record-keeping tasks.
- **Confidentiality**:Understanding of the importance of confidentiality and ability to handle sensitive information with discretion and professionalism.
- **Teamwork**:Ability to work collaboratively as part of a team, supporting and assisting colleagues as needed.
- **Adaptability**:Flexibility and adaptability to navigate and prioritize tasks in a fast-paced and dynamic work environment.
- **Empathy**:Demonstrated empathy and understanding for individuals facing mental health, addiction, and homelessness challenges.
