The Development Coordinator is an integral part of CIS's Development Team. The Coordinator will work with senior staff and other members of the Development Team to leverage relationships and manage programs and events to support the fundraising goals of the team. This person will help transition the team to a new CRM database, support donor communications and events, and help the team work smarter towards our fundraising goals by building efficient and effective systems and processes.

RESPONSIBILITIES:

Gift Processing

  • Handle all aspects of gift processing and donor acknowledgements
  • Book gifts and pledges in the database
  • Generate acknowledgement letters to donors and collaborate with the Development team to ensure they are sent to donors in a timely manner

Database Management

  • Maintain the accuracy and integrity of our donor relations management database, ensuring donor files are up-to-date and accurate
  • Conduct data entry
  • Run reports and queries

Donor Prospecting and Research

  • Collaborate with the Major Gifts team to regularly identify new prospective donors to ensure a sufficient pipeline at all levels, including the identification of donors with larger capacity ($5,000+) for the Major Gifts team to pursue
  • Work alongside the Associate Director of Development Operations (ADDO) to develop fundraising programs and new revenue streams for continued revenue growth

Donor Stewardship and Cultivation

  • Work with the Major Gifts team to leverage and manage donor relationships through a proactive donor stewardship plan
  • Write/prepare letters of request, donor proposals, and other donor communication, as needed
  • Support the Development Team in outreach and fundraising activities
  • Support a culture of gratitude in donor cultivation and stewardship
  • Collaborate with the ADDO to manage the preparation, logistics, and execution of key team projects, such as the Annual Appeal, Annual Holiday Card, etc.

Campaign

  • Support the logistics that enable the Development Team to execute a multi-year initiative aimed at raising $55M. Responsibilities for the coordinator include, but are not limited to:
  • Identifying prospects through research and Board and Council leads
  • Supporting metrics and tracking
  • Convening meetings, deliverables, and holding team members accountable for goals
  • Accurately tracking all campaign data in CRM
  • Providing regular reporting on metrics and progress
  • Supporting donor communications, which may include content generation.

Development Team Tools and Systems Management

  • Prepare reports for the Development Team, Board Committees, and internal teams
  • Support the ADDO in the migration, onboarding, training, and utilization of new CRM
  • Support and train the Development Team on Operations resources, tools, and processes that will help to support the Development Team's productivity and streamline and optimize our collaborative work
  • Brainstorm and identify ways for the Development Team to optimize processes, collaboration, and tools

Liaise with Finance Team

  • Support the ADDO with monthly reconcilements

Event Management

  • Support aspects of event logistics (event website, guest list management, vendor coordination, etc.) and event analysis for the Development Team's donor cultivation events throughout the year
  • Work closely with the ADDO to plan and implement CIS of Chicago's annual fundraising event, which hosts more than 300 attendees
  • Other duties as assigned as part of a collaborative team

  • Capacity to interact comfortably with major donors and our Board Directors
  • Able to work occasional evenings and weekends
  • Demonstrated ability to meet fundraising or sales goals
  • Ability to work both collaboratively and independently
  • Ability to respect and protect confidential donor information

QUALIFICATIONS:

  • Bachelor's degree
  • Preferred two to four years' experience in fundraising or a related field, with strong track record of success
  • Highly-developed interpersonal and communication skills (verbal and written)
  • Superior writing and organizational skills with exceptional follow-through abilities
