Key Responsibilities
  • Proposal Development: Craft, organize, and track proposal documents with precision, ensuring timely submission and high-quality presentation.
  • Contract Management: Prepare and review AIA Owner/Architect Agreements, Architect/Consultant agreements, and other legal documents, maintaining accuracy and attention to detail.
  • Submittal Coordination: Participate in or prepare responses to Requests for Proposal/Qualifications, ensuring seamless communication with clients and consultants.
  • Insurance Certificate Management: Request, distribute, and manage certificates for projects, maintaining a well-organized system.
  • Client and Consultant Engagement: Actively engage with clients and consultants, proactively following up to secure signed agreements and proposals, fostering strong relationships.
  • Internal Collaboration: Coordinate with the Marketing and Accounting staff, related to project organization, ensuring effective communication and teamwork.
  • Document Management: Maintain a well-structured electronic filing system, ensuring easy access and retrieval of documents.
  • Marketing Committee Participation: Participate in the Marketing Committee, contributing to the development and implementation of marketing strategies and promotional materials, driving business growth.
  • Attention to Detail: Exhibit exceptional verbal and written legal communication skills, with a sharp eye for proofing and editing to maintain the highest standards of grammar and clarity.
Requirements
  • Education Background: Bachelor's degree in Marketing, Communications, Business, or related fields.
  • Professional Experience: 5+ years of progressive contract documentation preparation, editing, and negotiation, within the architectural and/or engineering contexts.
  • Proficiency in Microsoft Suite: Essential skills in Microsoft Suites, especially Excel and Word.
  • Versatility: Experience with AIA Contract documents, Mac-based applications (Pages, Numbers, Keynote), Google Apps (Sheets, Docs, etc), and Deltek Vision is highly beneficial.
  • Proactive Multitasker: Takes initiative, self-motivated, versatile, and highly dependable.
