We are seeking a Receptionist/Marketing Assistant who will provide general support to our administrative team and aid our marketing department in fundraising/donor base. The ideal candidate should be extremely friendly, possess clear communication skills, be proactive, and capable of assisting with various tasks.


Qualifications:

  • Prefer 2+ years office experience within a behavioral health agency
  • Requires High School/GED, prefer Associates in Secretarial Studies
  • Ability to work with highly sensitive and confidential information
  • Excellent office management, data entry, and computer software skills
  • Experience in Microsoft required
  • Prefer functional awareness and experience with human resource functions, risk management procedures, and some accounting experience
  • Must be able to work independently with exemplary organizational, telephone, public relations, and prioritizing skills


Responsibilities:

  • Provide general support to the administration staff as required.
  • Greet staff, clients and guests who arrive in the administration building in a friendly manner and direct them accordingly.
  • Ensure all visitors sign in and security/confidentiality is maintained.
  • Answer phones, transfer calls and assist as needed.
  • Work with office manager on projects for the greater good of agency.
  • Help monitor the security of the building in the morning and each evening.
  • Distribute mail as directed by Executive Office Manager. New hire labels and folders for mailboxes.
  • Maintain pre-K binders containing contracts, sign in and out sheets for each school.
  • Log in UPS and FedEx packages daily. Maintain log for residential packages
  • Prepare paperwork for interviews as directed by Human Resources.
  • Maintain staff directory and distribute when changes are made.
  • Replace copier parts and inform Executive Office Manager when parts/supplies need to be reordered. Call Canon when service of the copier is required.
  • Miscellaneous copying for administrative building staff.
  • Assists in maintaining up-to-date donor records to ensure the accuracy of mailing lists for fundraising campaigns, events, and newsletters
  • Facilitates the donation acceptance and acknowledgment process, including sorting mail; preparing donations for recording, distribution, and deposit; entering donation information into the eTapestry database; preparing and proofreading donation acknowledgments; and mailing acknowledgments.
  • Assists in preparing and implementing fundraising campaigns and special events, including researching and contacting potential donors and sponsors, processing mailings, data entry for special event reporting, and logistical support.
  • Communicate with donors in person upon their arrival.
  • Coordinating volunteers for special projects and events
