What You Will Do:
The Registrar Operations Assistant is responsible for delivering support services to both students and administrative personnel, including academic faculty, college staff, and academic advisors. The function of this position is to serve as the primary point of contact and receptionist for the Office of the Registrar, ensuring a seamless and professional interface with all stakeholders. In addition to front-line responsibilities, this position plays a pivotal role in maintaining and managing databases related to transfer equivalency while contributing to the integrity and accuracy of academic records. During high-demand periods, the operations assistant may be called upon to provide backup support to fellow office staff, ensuring the efficient operation of the office and consistent delivery of services.
Essential Responsibilities
- Provide daily immediate and courteous information and assistance to students, faculty, university staff, and other interested parties regarding all questions of the Registrar's Office. This includes acting as the primary phone support for the office.
- Maintain the Transfer Equivalency Database (TES) by adding, editing, and removing course equivalencies.
- Provide back-up support to Transfer Articulation Analysts (TAA's) during peak time by assisting with transcript evaluations.
- Identify problems in operations processes and make recommendations for revisions or updates
- All other duties as assigned.
Qualifications
- Associate's degree required.
- Should be familiar and comfortable with changing technology.
- Strong computer skills and knowledge of Office software packages.
- Should be able to work with a variety of people and have exceptional communication skills, including when collaborating with multiple college departments.
- Should be highly organized and be able to quickly adapt to change. An attention to detail is also necessary.
- Flexibility: Adjusts quickly and effectively to changing conditions and demands. Discusses change as a necessary and inevitable aspect of organizational life as well as an opportunity to learn new things. Has a similar view and approach to potentially stressful situations. Invests personal energy toward accepting and adapting to change that others use toward resisting or resenting it.
- Relationship Building/Networking: Builds rapport and develops alliances with a broad range of people. Adjusts communication style to meet the needs of individuals at various organizational levels and to meet the needs of clients. Forms alliances by demonstrating concern and respect for others, as well as by highlighting common interests and aspirations. - Solving Problems: Takes a proactive approach to anticipating and preventing problems. When problems occur, defines those problems, investigates obstacles, gathers relevant information, decides whether solving the problem should be a group decision, generates and analyzes alternate solutions and arrives at a workable solution.
