Position Summary

This position is responsible for greeting visitors and directing them to the appropriate destination, providing general office support with a variety of clerical activities and related tasks, answering incoming calls and directing them to the appropriate associates/units, managing overnight mail distributions, and other duties as assigned.


Scope & Breadth of Position

This position reports to the Administrative Services Manager in Operations, at the Foundation. This position has no reporting

staff.


Accountabilities

· Perform administrative work as assigned.

· Correctly route incoming calls, assist with call overflow when necessary.

· Greet visitors and notify appropriate parties of arrival.

· Maintain work area in such a way as to provide a positive first impression for Foundation staff and guests.

· Receive deliveries of express packages; certified, registered, and express mail and notify recipients of items for pickup.

· Maintain accurate guest log records.

· Support Administrative Services as needed with various work tasks (mailing, stuffing, etc.)

· Other duties as assigned.


Major Duties and Responsibilities

· Direct inbound calls to the appropriate individual or department when requested.

· Communicate company address, directions to the location, fax numbers, website, assigned Ministry Relationship Officers, and other related information as needed.

· Greet guests with a friendly demeanor and maintain the reception area so that it is always organized in appearance.

· Receive, sort and forward incoming overnight mail.

· Timely and efficiently process all address change request workflows.

· Coordinate the pick-up and delivery of express mail services (FedEx, UPS, etc.).

· Post greetings and seasonally appropriate messages on the Welcome Board.

· Assist with other related clerical duties such as copying, faxing, filing, and collating as assigned.

· Maintains electronic calendar for company meetings.

· Assist the Administrative Services team with call overflow during busy times.


Experience and Job-Related Requirements

· High school graduate with a minimum of five years customer service experience.

· Proficiency in Microsoft Office (Word, Excel, Outlook).

· Strong customer service and interpersonal communication skills are essential.

· Excellent organizational skills are required.

· Critical thinking skills are essential.

· Banking or financial relationships’ experience a plus.

· Ability to work independently and accept direction on assigned tasks.

· Able to work collectively with the administrative team associates.


Physical Requirements

· Regular use of the telephone and email for communication is essential.

· Sitting for extended periods is common.

· Hearing and vision within normal ranges are essential for normal conversations, to receive ordinary information and to prepare of inspect documents.

· No heavy lifting is expected. Exertion of up to 10 lbs. of force may be required occasionally.

· Good manual dexterity for the use of common office equipment such as computer terminals, calculator, telephone, and copiers.


Work Environment

· The job is performed indoors, in a traditional office setting.

· Activities include extended periods of sitting and extensive work at computer monitors and on the phone.
