Position Summary

This position is responsible for providing timely and efficient processing of all incoming and outgoing mail, as well as the timely and efficient processing of all issues related to bank changes, ach updates, returned checks, and outstanding checks.


Scope & Breadth of Position

This position reports to the Operations Manager, Administrative and Client Services and has no reporting staff.


Accountabilities

· Timely and efficiently process all bank change request workflows.

· Timely and efficiently process all ach reject workflows.

· Process returned checks.

· Process timely all outstanding checks and suspend after 90 days.

· Under dual control, open all mail potentially including a check and deposit checks timely and appropriately.

· Process outgoing mail, and sort incoming mail.

· Maintain supplies for mail and printer, including toner, paper, envelopes, postage, etc.

· Assist with backup coverage for receptionist.

· Assist and provide back up with the completion of all unit functions, special projects, large mailings, Iron Mountain processing, and other duties as required by business needs.


Relationships

Strong organizational skills and attention to detail are essential. Professional customer service and communication skills are required to effectively communicate with internal and external clients. Must be a team player and possess the ability to work closely with other members of the Organization.


Experience and Job-Related Requirements

• High school diploma or equivalent. Degree preferred.

• Strong interpersonal, organizational and time management skills.

• Flexibility to handle multiple tasks and meet established deadlines with minimal supervision.

• Proficient in usage of Microsoft applications (Excel, Word, etc.)

• Excellent research and problem-solving abilities.

• Discipline to pay strict attention to detail.

• Ability to work in a team environment or alone.

• Accountable, dependable, and self-motivated.


Physical Requirements

· Ability to communicate orally with management and co-workers, both individually and in a group/team.

· Regular use of the telephone and e-mail with excellent customer service skills is required.

· Sitting for extended periods is common.

· Hearing and vision within normal ranges is essential for normal conversations, receiving information and preparing and inspecting documents.

· No heavy lifting is expected. Exertion of up to 10 lbs. of force occasionally may be required.

· Good manual dexterity for the use of common office equipment such as computer terminals, calculator, telephone, and copiers.


Work Environment

· The job is performed indoors in a traditional office setting.
