We are seeking a dynamic individual to fill the dual role of Onboarding Specialist and Financial Service Team Associate. The ideal candidate will possess excellent organizational skills, attention to detail, and the ability to multitask effectively. This role involves mastering the company’s systems, guiding new advisors through the processing of investment and annuity applications, and providing support to ensure compliance standards are met. Additionally, the candidate will support our internal Fee-Based Financial Planning Department by performing case analysis and enabling the exploration of viable financial solutions for clients.

Responsibilities:

Onboarding Specialist:

· Transition BOB & Open new accounts.

· Assist in processing new business applications ensuring compliance with industry standards.

· Expert in firm systems (A360 CRM, VAOE, FAOE, MMLIS)

· Assist with clearing not-in-good-order items directly with our Home Office.

· Serve as a resource to staff and advisors, developing knowledge of new products and processing procedures.

· Act as a liaison between representatives and the home office.

Financial Service Team Associate:

· Research and determine comprehensive and customized financial solutions for clients, ensuring they meet the firm’s standards.

· Input data, analyze financial planning software output, and develop written recommendations as part of a comprehensive financial plan.

· Maintain proactive communication with planners regarding plan design. Follow up and track the progress of all cases.

· Generate correspondence and compose financial plan descriptions.

· Continually seek to expand and enhance personal knowledge of plan development through participation in company and industry education opportunities.

· Support other firm initiatives and projects as requested by management, such as training, technology, and/or administration.

Results Expected:

· Grow and sustain the integration of business technology tools into firm workflow and advisor practices.

· Provide timely communication and training to all newly onboarded advisors.

· Ensure timely and accurate reporting of training activity leveraging CRM reports and dashboards.

· Effectively manage action planning, evaluation, and sustainment plans to support firm goals.

· Review and verify data accuracy in financial proposals.


Requirements:

· Bachelor’s degree (BA or BS)

· 2-5 years of office administration experience.

· Strong organizational skills and attention to detail.

· Excellent communication and interpersonal abilities.

· Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

· Results-driven, confident, and a demonstrated ability to negotiate and influence.

· Strong working knowledge of practice management functions, processes, and systems.

· Proficient and adaptable with technology.

· Wealth Management and/or knowledge of the securities industry preferred.

· Experience with eMoney or Right Capital preferred.


Job Type: Full-time

Location: Pleasanton or Roseville

Salary: $21.00 - $27.00 per hour

Hybrid position: Review after 90-day review
