The journey for a patient with a brain tumor is deeply emotional. Newly diagnosed patients often arrive at the emergency department due to changes in vision, balance, or cognitive function. Their world is quickly turned upside down as they race towards surgery. Unfortunately, many patients (~50% for glioblastomas) experience recurrence within a few months and, along with their dedicated family members and clinicians, must navigate treatment options once again. It has been over a decade since an innovative treatment option was cleared by the FDA—until GammaTile® Therapy

We are now seeking an Administrative Assistant to support our Medical Affairs Team as well as provide support to our executives as needed. If you have a heart for patients with brain tumors, the passion for providing high level support, and strong multi-tasking and tactical execution skills, we’d love to talk to you This position is regular full-time, non-exempt, hourly position located in Tempe, AZ (partially remote and partially in the office).


Position Summary

The Administrative Assistant is essential to the efficient operation of our medical technology startup, providing crucial support to company leadership. This role involves assisting both the medical affairs department and senior leadership with daily tasks and special projects. The Administrative Assistant must demonstrate excellent judgment and communication skills, managing a wide range of responsibilities and interacting with individuals from diverse backgrounds. Handling sensitive and confidential information is a regular part of this role, requiring a high level of diplomacy, tact, and discretion.


Job Duties/Responsibilities

  • Prioritizes sensitive matters and serves as the gatekeeper for incoming calls, emails, and other communications.
  • Responds to communications when necessary and/or directs inquiries to the appropriate person.
  • Schedules meetings, appointments, events, and conference calls.
  • Attends meetings, takes notes, and records minutes as needed.
  • Prepares, gathers, and formats information for distribution including drafting memos and letters, compiling data for reports, preparing presentations, and proofreading and editing communications.
  • Coordinates travel arrangements and accommodations for team members.
  • Enters data into company databases with a high level of accuracy.
  • Maintains records for the medical affairs department, senior leadership, and others as needed.
  • Provides administrative assistance to various departments as needed.
  • Collaborates with team members to ensure efficient operations across the company.
  • Supports medical affairs and senior leadership with expense management.
  • Embodies the company’s Purpose and Shared Values, fostering a positive and productive team culture.
  • Complies with company policies and procedures.
  • Follow all safety rules and safety procedures.
  • Authorized to access employee and/or patient PHI and ePHI only as needed for job-related functions.
  • Completes other duties as assigned.
Requirements:

Qualifications

  • High school diploma or equivalent; college degree preferred.
  • Three or more years of successful administrative or assistant experience.
  • Excellent written, verbal, and other communication skills.
  • Knowledge of effective office systems and procedures.
  • Proficient with office and computer equipment with excellent keyboarding skills.
  • Ability to use discretion and judgment for communications and to effectively prioritize work.
  • Strong organizational and planning skills with the ability to multitask.
  • Excellent time management skills and ability to learn quickly.
  • Strong attention to detail and problem-solving skills.
  • Proficient in using Microsoft office programs (Outlook, Word, Excel, and PowerPoint) and ability to use enterprise software.
  • Willingness to work a flexible schedule.
  • Able to travel for work as needed.
  • Satisfactory drug screening (if applicable).
  • Satisfactory comprehensive background screening.

Physical Demands/Working Conditions

  • Typical work environment for a professional office or home office space.
  • Primarily a stationary role with some movement from place to place.
  • Constant use of a computer, keyboard, mouse, monitor, and other office equipment.
  • Occasionally lifts, carries, and moves items up to 30 lbs.
  • Some evening and weekend work may be required depending upon workload.
  • Some overnight travel may be required for work, events, and training.
