Zeus Property Management provides facility and property management services to a variety of Onix Group owned asset types such as shopping centers, hotels, and healthcare facilities servicing DE, PA, NJ, and MD. Services include landscaping, snow removal, maintenance, and tenant billing and collections. This position is not remote and is based out of our corporate office in Kennett Square, PA

Responsibilities and Duties
The Commercial Real Estate Executive Assistant is responsible for maintaining an efficient office workflow which supports customer service goals and business practices. This position must establish, maintain, and oversee effective processes, management systems and tenant relations to help ensure the organization is achieving its goals of providing exceptional services to owners and tenants. This position is responsible for supporting both Clients and Internal Business objectives.
- Assist with customer service requests and escalate issues to the appropriate property management staff. Log and dispatch all requests for service as appropriate in Zeus Work Order system.
- Follow-up with customer and all stakeholders to ensure service requests are completed to their satisfaction.
- Assist in timely and accurate payroll submission for Zeus field Techs.
- Schedule routine reports to audit expiration dates of COI’s, Vehicle Registrations, and vendor contracts.
- Maintain up to date Fleet Insurance and Registrations.
- Assist with coordination of customer move ins and outs to ensure compliance under lease terms.
- Lease Process Administration activities including participation in preparing tenants for possession, preparation of Tenant Notices/Welcome packages, coordination of HOA/Condo Communications (Meeting coordination, organization, participation and minutes preparation and distribution).
Qualifications
- 3 years administrative experience preferred
- Office management experience preferred
- Knowledge of computer systems (Microsoft Suite, etc.) preferred
