Key Responsibilities

The Real Estate Administrative Coordinator plays a crucial role in maintaining an organized office environment that aligns with our customer service objectives and operational practices. This position is tasked with establishing and managing effective processes and systems to foster positive tenant relations and support the organization's mission of delivering outstanding service.

  • Handle customer service inquiries and escalate issues to the relevant property management personnel. Log and manage all service requests using the designated work order system.
  • Follow up with clients and stakeholders to ensure service requests are fulfilled satisfactorily.
  • Assist in the timely and accurate processing of payroll for field technicians.
  • Schedule regular audits of expiration dates for Certificates of Insurance, Vehicle Registrations, and vendor contracts.
  • Maintain current Fleet Insurance and Vehicle Registrations.
  • Support the coordination of tenant move-ins and move-outs to ensure compliance with lease agreements.
  • Administer lease processes, including preparing tenants for occupancy, drafting Tenant Notices/Welcome packages, and coordinating communications for Homeowners Associations/Condominiums.

Qualifications

  • Preferred 3 years of administrative experience
  • Experience in office management is advantageous
  • Familiarity with computer systems, particularly Microsoft Office Suite, is preferred
