As an ARPA-H Executive Assistant, you will provide support to Mission Office Directors and Program Managers as the team drives groundbreaking projects that have the potential to transform healthcare and save lives.
SD Solutions is seeking a capable and experienced Executive Assistant to join our team in supporting executive-level personnel, establishing effective relationships with the public, having customer service expertise, excellent oral/written communication skills, and excellent organizational & time-management skills.
Qualifications
- Bachelor's degree in any field;
- Minimum of 10 years of experience; preferably supporting medium to large teams;
- Experience supporting executive-level personnel and working in an R&D environment is highly preferred.
- High attention to detail; applies critical thinking and creativity to developing work products;
- Ability to work well with teammates in a fast-paced environment;
- Good analytical ability;
- Proactive and detail oriented;
- Able to quickly learn client environment/key stakeholders and understand the larger PMO support work;
- Ability to build and maintain meaningful client relationships;
- Excellent communication skills, both orally and written;
- Excellent customer service skills;
- Experience and solid working knowledge of Microsoft Office suite;
- Prefer experience supporting DARPA or related Federal "ARPA" agencies (IARPA, ARPA-E, ARPA-H, HSARPA);
- Alternate preferable experience at NIH, CDC, FDA, Public Health Service, USDA, or NSF.
Responsibilities
- Provides high level executive support by managing calendars and day-to-day routine;
- Heavy scheduling, maintains schedule to accommodate unexpected meetings, visitors and any last-minute changes to daily schedule;
- Disseminates "taskers" rapidly, in a timely manner as they are received, to those who are responsible for completing the taskers;
- Performs several administrative duties to include scheduling, controls, deliverables, time and attendance, reservations, calendar maintenance, and mail;
- Facilitates and coordinates with management team for all management meetings, team meetings and prepares presentations/meeting materials, collects meeting minutes and circulates to team as action items for completion;
- Coordinates weekly reports, perform ad hoc projects/taskers, edits and compiles for PMO leadership;
- Maintains/updates division telework and alternate work schedules;
- Follows up and tracks all contract deliverables and compiles needed responses into spreadsheets;
- Support day-to-day client relationships and communications.
Clearance, Citizenship, and Work Location
Clearance requirement: Active Public Trust or the ability to obtain Public Trust.
U.S. citizenship or lawful permanent residency is required per contract.
