Opportunity Overview

SD Solutions is seeking a detail-oriented and experienced Travel Specialist to join our team at ARPA-H (Advanced Research Projects Agency for Health). As an ARPA-H Travel Specialist, you will be responsible for coordinating all travel arrangements for our team members, ensuring smooth and efficient travel logistics.

Responsibilities Include

  • Plan and organize domestic and international travel arrangements for ARPA-H staff, including flights, accommodations, ground transportation, and other travel-related services.
  • Research and select appropriate travel options based on budget, schedule, and preferences of team members.
  • Coordinate with travel agencies, airlines, hotels, and other vendors to secure bookings and negotiate contracts for group travel.
  • Manage travel itineraries, schedules, and visa requirements for team members traveling to various locations for conferences, meetings, and projects.
  • Assist in processing travel expenses, reimbursements, and travel policy compliance for all trips.
  • Stay informed about travel advisories, health and safety protocols, and other relevant travel regulations to ensure the well-being of travelers.
  • Provide guidance and support to team members regarding travel procedures, documentation, and travel insurance options.
  • Collaborate with other departments within ARPA-H to streamline travel processes and improve overall travel experience for staff.

Requirements Overview

  • Associate degree in any field. Hospitality management, tourism, business administration, or related fields are a plus.
  • Two years of relevant experience.
  • Proven work experience as a Travel Specialist or similar role, preferably in a government research or scientific organization. Experience from government agencies such as HHS, NIH, and DARPA is preferred.
  • Experience in an R&D environment is highly preferred.
  • Scientific knowledge and expertise in preparing and reviewing manually and electronically generated travel authorizations and vouchers, processing passport/visa applications, Commercial Ticketing Office (CTO) operations and use of GSA City Pair airfare rates.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Excellent communication and interpersonal abilities to liaise with travel vendors, team members, and stakeholders.
  • Proficiency in travel booking systems, travel management software, and Microsoft Office suite.
  • Knowledge of travel industry trends, destination information, and travel policies and procedures.
  • Ability to adapt quickly to changing travel requirements and handle last-minute travel adjustments.
