Job Description

The Community Health Event Coordinator position will perform various event functions and activities for the agency. The Community Health Event Coordinator will work with all departments; medical, dental, behavioral health, Communications, Community Health & Wellness (CHW) programs and outreach. This position requires the ability to exercise sound judgment, attention to detail, initiative, flexibility, and to work independently. The Community Health Event Coordinator will not have supervisory responsibilities but will be responsible for the events' overall success.

KEY ACCOUNTABILITIES: 

  1. Responsible for leading all Medical Outreach events, including working with the departments to ensure adequate staffing for providers and coordinating dates, times, logistics (set-up and take-down), and follow-up. 
  2. Assist with Communications Department programs. 
  3. Coordinates internal and external partnerships related to organizing, resources, volunteers, walk-throughs, entire event processes from concept to completion, and arranging meetings.
  4. Responsible for obtaining all necessary data, data entry, and reporting for internal and external purposes. 
  5. Responsible for all inbound and outbound calls to schedule event participants and ensure an adequate number of attendees to prevent wastage of vaccines and resources. 
  6. Assist in developing new events, promotion, as well as internal and external communications. 
  7. Attends all events, manages and oversees the entire process, and serves as a go-to person on direction and task assignments. 
  8. Responsible for being current on all federal and state regulatory requirements and vaccine information to ensure accuracy and compliance. 
  9. Responsible for addressing all event-related grievances and incidents and process for submitting proper documentation. 
  10. Performs other related duties as assigned as necessary to meet the medical department and agency needs and office functions. 
Qualifications

QUALIFICATION/EXPERIENCE/REQUIREMENTS: 

  1. An Associate degree and a minimum of two years of supervisory experience in customer service, patient registration, health information, and other medical office experience required. 
  2. At least one (1) year experience in event planning, preferably in healthcare. 
  3. Must be flexible to work weekends and late hours, as necessary. 
  4. Must possess excellent critical thinking and customer service skills with a high level of professionalism. Multitasking is a must for this position. 
  5. Must be computer literate using Microsoft Office (Word, Excel, Access, PowerPoint} and the Internet. 
  6. High-level knowledge of the current database system is preferred. 
  7. Must always be professional in demeanor, dress, and presentation of person and materials produced by this organization. 
  8. Must be dependable, punctual, reliable, relate well with others, and able to meet deadlines. 
  9. Must understand the Native American community and culture and experience working with people from diverse ethnic groups and various backgrounds. 

Standard Employment Requirements

  1. Must possess a valid and unrestricted Arizona driver’s license (within 30 days of hire if applicant is from out-of-state) with no DUI/DWI or reckless driving convictions in the last five years. No more than two at-fault accidents in the last three years. Must maintain a valid Arizona driver’s license during employment. Must be insurable under NATIVE HEALTH’s liability auto policy.
  2. Must pass a criminal background check and obtain a Class I Fingerprint Clearance Card within the initial ninety (90) calendar days of employment and retain a valid card while employed with NATIVE HEALTH.
  3. Must pass substance abuse testing upon employment and submit to random testing during employment.
  4. Must provide an updated immunization (IZ) record at the time of employment.
  5. Must have a current (within 12 months) Tuberculosis (TB) skin report upon employment and provide an annual update.
  6. Must obtain a First Aid/CPR Card within (90) calendar days of employment and maintain a valid CPR Card during employment.

KNOWLEDGE, SKILLS, AND ABILITIES: 

  1. Ability to understand and interpret complex concepts, regulations, and guidelines under limited supervision. 
  2. Ability to work independently with minimal supervision while meeting all requirements of the position. 
  3. Knowledge of computer essentials, such as Microsoft Office (Word, Excel, Powerpoint) 
  4. Ability to multitask in a fast-paced, demanding area while remaining calm & collected. 
  5. Knowledge of correct English usage, grammar, spelling, and punctuation; modern office methods and procedures, equipment, filing systems; statistical and record keeping principles and procedures. 
  6. Knowledge of the compilation and organization of reports; composing correspondence on own initiative; typing accurately from a clear copy, taking dictation, and transcribing it accurately. 
  7. Ability to meet the public tactfully and courteously answering questions in person and over the telephone, communicating effectively with all segments of the community. 
  8. Ability to be professional and proactive in responding to issues that may impact and be of importance. 
  9. Knowledge of administrative concepts, problem-solving techniques, principles, and practices sufficient to perform independently. 
  10. Ability to work with confidential material without betraying the trust of clients, their families, employees, and the agency. 
  11. Ability to communicate and engage others to carry out assignments, meet goals and ensure the success of NATIVE HEALTH. 
  12. Ability to organize projects and attention to detail.
