Position Overview

The Event Coordinator is responsible for managing all facets of event organization and execution, focusing on both internal and external gatherings, with a particular emphasis on exhibitions and business networking events.

Key Responsibilities
  • Developing comprehensive event proposals that align with client needs and ensuring timely presentation of these proposals.
  • Fostering and maintaining productive relationships with vendors and event venues.
  • Overseeing the planning of various event components, including location selection, seating arrangements, catering, and guest lists.
  • Assigning event planning responsibilities to team members as necessary.
  • Exhibiting extensive knowledge of venue options and vendor services to clients, including conducting venue tours.
  • Coordinating entertainment for events, such as musical acts, performers, and keynote speakers.
  • Adhering to budget constraints while finalizing event details.
  • Managing invoicing and payment collection processes efficiently, while generating clear and detailed financial reports.
  • Supervising event execution on-site, addressing any issues that arise, welcoming attendees, directing setup, liaising with staff, and coordinating with vendors.
  • Collaborating with the marketing team to design impactful promotional materials for each event, including both print and digital advertising.
  • Proactively anticipating and preparing for various event scenarios.
  • Identifying potential sales opportunities for future events during client interactions and at events, leveraging a strong understanding of the company’s offerings.
  • Simultaneously managing multiple events to ensure all are executed flawlessly.
Qualifications

Essential Skills and Qualifications for the Event Coordinator Role

Strong organizational skills, proven experience in event planning, team leadership capabilities, effective time management, sales acumen, familiarity with common reservation software, meticulous attention to detail, a collaborative mindset, excellent written and verbal communication skills, strong client interaction abilities, marketing expertise or relevant experience, vendor and entertainment sourcing skills, proactive initiative, enthusiasm, adaptability, and a degree in Event Planning or Marketing is preferred.
